Position Summary
We are seeking a highly organized, dependable, and customer-focused Administrative Assistant to support the daily operations of our office. This position serves as a key point of contact for clients, employees, and visitors while providing administrative support across the organization.
The ideal candidate is professional, detail-oriented, comfortable working in a fast-paced environment, and able to manage multiple priorities with accuracy and discretion. Strong communication and computer skills are essential. Bilingual candidates are encouraged to apply.
Key Responsibilities
- Welcome and assist visitors, clients, and employees in a professional and courteous manner.
- Answer and route incoming calls, respond to emails, and manage general correspondence.
- Provide accurate and timely data entry and maintain electronic and physical records.
- Organize, maintain, and update filing systems and confidential documents.
- Provide administrative and clerical support to multiple departments as needed.
- Schedule appointments, coordinate meetings, and maintain calendars.
- Respond to customer and employee inquiries and provide timely, solutions-oriented assistance.
- Prepare, copy, organize, and distribute materials for benefits orientations, open enrollment, and Summary Plan Descriptions.
- Provide administrative support for employee benefit programs, including health, dental, vision, disability, life, and retirement plans.
- Assist with annual open enrollment activities, including preparing materials, coordinating communications, tracking enrollment information, and responding to employee questions.
- Maintain confidentiality and handle sensitive employee and client information with professionalism and discretion.
- Support general office operations and special projects as assigned.
Qualifications
- Previous experience in a administrative assistant, office coordinator, or similar role.
- Strong computer skills, including proficiency with Microsoft Office Suite and QuickBooks.
- Excellent verbal and written communication skills.
- Strong customer service skills and a professional, welcoming demeanor.
- Exceptional organizational skills with strong attention to detail.
- Ability to prioritize tasks, meet deadlines, and effectively manage multiple responsibilities.
- Ability to work independently while collaborating effectively with team members and other departments.
- Demonstrated ability to maintain confidentiality and exercise sound judgment when handling sensitive information.
- Bilingual skills are a plus, particularly the ability to communicate effectively with a diverse client and employee population.
