Real Estate Services Specialist
Department: Property Management | Status: Open for Hire
Role Overview
The Real Estate Services Specialist is a cornerstone position within DeLille | Field Commercial Management's property management team. This role serves as the primary point of contact for tenants, owners, and vendors across our commercial portfolio — spanning over 78 properties, 300+ tenants, and 2.5 million square feet of industrial, office, retail, multifamily, and medical space. The ideal candidate brings hands-on commercial real estate experience, exceptional organizational skills, and a service-first mindset. This person will also provide secondary support to the Fractional Finance Manager, assisting with bookkeeping functions to ensure operational and financial continuity.

Reports directly to: Managing Partner
Works closely with: Fractional Finance Manager, Support Specialist, VP of Asset Management
Key Responsibilities
Tenant & Client Relations
- Serve as the primary point of contact for tenant inquiries, service requests, and account management across the portfolio.
- Manage onboarding and move-in logistics including utility coordination, lease setup, and coordination with the Assistant Facility Manager for property inspections.
- Oversee move-out processes including security deposit documentation, final account reconciliation, and coordination with the Assistant Facility Manager for condition assessments.
- Assist tenants with portal access, rent adjustments, lease updates, and general account questions.
- Build and maintain strong, professional relationships with tenants and owners consistent with DeLille | Field's high-touch service standards.
Lease Administration & Property Oversight
- Maintain and update lease records with accuracy, tracking renewals, expirations, rent escalations, and compliance elements.
- Prepare and distribute lease expiration reports to assigned brokers on a scheduled basis.
- Coordinate with the Assistant Facility Manager to ensure inspection documentation is completed, filed, and accessible for compliance and legal purposes.
- Monitor lease compliance and flag issues for management review.
Owner & Investor Engagement
- Prepare and distribute monthly owner reports and investor communications.
- Maintain investor, vendor, and owner records including contract data and contact information.
- Support routine landlord communications including appreciation outreach and relationship-building correspondence.
- Coordinate with brokers and ownership on leasing activity, renewals, and portfolio updates.
Maintenance Coordination & Vendor Management
- Coordinate work orders with the approved vendor assigned to each specific property, prioritizing time-sensitive issues (HVAC, roofing, life-safety systems).
- Track vendor performance, review repair invoices, and assist with tenant billing per individual lease terms.
- Maintain an updated and organized approved vendor list and ensure all contractors carry required insurance documentation.
- Escalate maintenance issues to the VP of Asset Management as needed. Note: large capital expenditures are managed by the Managing Partner and VP of Asset Management.
Accounts Receivable & Financial Support
- Invoice tenants for utilities, CAM charges, and other lease-related billings.
- Track tenant payment activity and proactively address delinquencies, including communication documentation for any legal escalations.
- Provide secondary bookkeeping support to the Fractional Finance Manager, including data entry, expense reconciliation, and documentation assistance.
- Assist with year-end 1099 preparation and CPA coordination documentation.
- Input and reconcile expenses using the company's accounting and CRM systems.
Administrative & Systems Support
- Maintain organized digital and physical records for properties, tenants, and vendors.
- Support the implementation of new operational systems and process improvements.
- Attend weekly staff meetings and provide updates on active work orders, tenant issues, and upcoming projects or deadlines.
- Participate in team coordination meetings and contribute to a collaborative, high-performance office environment.
- Assist with afterhours on-call coordination as needed on a rotating basis.
Qualifications
Required
- Minimum 2–3 years of experience in commercial real estate property management or a closely related field.
- Demonstrated knowledge of commercial lease structures, tenant relations, and property operations.
- Proficiency in property management CRM/software platforms (AppFolio, Yardi, MRI, or equivalent).
- Strong organizational skills with the ability to manage multiple priorities simultaneously across a large portfolio.
- Excellent written and verbal communication skills; professional and courteous in all tenant and owner interactions.
- Basic bookkeeping competency — comfortable with data entry, reconciliation, and financial documentation.
Preferred
- Experience with SAP Concur or similar expense management platforms.
- Familiarity with commercial lease types: NNN, gross, modified gross, and percentage leases.
- Exposure to mixed-use portfolios including industrial, retail, office, and multifamily property types.
- North Carolina real estate license or willingness to obtain.

Compensation & Employment Details
Employment Type: Full-Time, Salaried
Compensation Range: $52,000 – $60,000 annually, commensurate with experience
