Job description:
We are looking for a self-motivated Scheduling Coordinator with recent direct experience in dispatching/scheduling. The ideal candidate is ready to bring best practices for scheduling small or large-scale installation projects and is an expert in providing excellent customer service.
Someone that brings a positive attitude, organized and has great attention to detail will do great in this position. This individual must be able to keep up in a fast paced environment, and adjust to changing priorities.
Job Duties:
- Schedule and coordinate manpower, equipment, work orders, purchase orders, paperwork and clerical duties for over 300+ holiday and non holiday installation projects.
- Primarily responsible for scheduling all manpower and equipment needs
- Oversee and maintain organization with work orders and purchase orders; entering into ERP, file, follow up on orders until they are received
- Responsible to ensure that work orders are closed in a timely basis and follow up with other departments until the tasks are complete
- Ensure that installation files are updated and maintained with accurate job information
- Assist in locating product details and/or vendors for new projects; new scheduling software, new equipment vendors; research out of state vendors
- Ensure that all orders are receive and processed; i.e. new, existing, repair and maintenance calls
- Initiate repair orders and follow up to completion
- Assist with arranging for rental equipment; forklifts, scissor lifts, box trucks etc
- Review job completion reports for discrepancies and/or necessary repairs
- Review projects in advance of installation
- Maintain documentation organization with all job orders
- Perform any other duties assigned by Manager
Qualifications:
- Bilingual/Spanish required
- Intermediate Microsoft Office, Word, Excel, and Outlook, testing required
- ERP or other software, required
- Must have 3 or more years dispatching/scheduling in a fast faced department
- Excellent communication skills, both verbal and written
- Ability to prioritize tasks and ensure their completion

Pay: $27.00 - $30.00 per hour
