Position Summary
Harrison Generator is seeking a highly energetic, customer-focused, and tech-savvy Office Coordinator to serve as the communication hub between customers, office staff, and field technicians. This role is ideal for someone who thrives in a fast-paced environment, enjoys solving problems, communicates exceptionally well, and embraces technology to improve efficiency.
The successful candidate will play a key role in delivering an outstanding customer experience while ensuring service appointments are scheduled efficiently, technicians are supported in the field, and invoicing is completed accurately and timely.
Key Responsibilities
Customer Communication
- Serve as the primary point of contact for incoming customer calls, emails, and service requests.
- Provide prompt, professional, and friendly communication to customers.
- Keep customers informed about service appointments, technician arrival times, scheduling updates, and project status.
- Handle customer concerns with urgency and professionalism.
- Build strong customer relationships through exceptional service and follow-through.
Service Scheduling & Dispatch
- Schedule service calls, maintenance visits, and emergency service requests.
- Coordinate technician schedules to maximize efficiency and response times.
- Monitor daily workloads and adjust schedules as priorities change.
- Ensure technicians have the information, parts, and documentation necessary to perform their work.
- Track open service calls and confirm completion status.
Field Technician Support
- Act as the communication bridge between office staff and field technicians.
- Provide technicians with customer information, service history, work orders, and scheduling updates.
- Assist in resolving scheduling conflicts and logistical challenges.
- Support technicians by obtaining customer approvals, coordinating parts, and documenting service updates.
Invoicing & Administrative Support
- Review completed work orders for accuracy and completeness.
- Generate and process customer invoices in a timely manner.
- Update customer records and service documentation within company software systems.
- Assist with contract renewals, maintenance agreements, and customer follow-up communications.
- Maintain organized and accurate electronic records.
Technology & Process Management
- Utilize CRM, scheduling, dispatch, and accounting software effectively.
- Learn new technologies and software platforms quickly.
- Identify opportunities to improve workflows and customer service processes.
- Maintain accurate data entry and documentation standards.
- Support ongoing technology initiatives and process improvements.
Qualifications
Required Skills & Experience
- Excellent verbal and written communication skills.

- Ability to multitask in a fast-paced environment.
- Strong problem-solving and critical-thinking abilities.
- Comfortable learning and using multiple software applications.
- Proficiency with Microsoft 365 (Outlook, Teams, Word, Excel).
- Reliable, self-motivated, and accountable.
Preferred Experience
- Scheduling, dispatching, or service industry experience.
- Experience with CRM systems, scheduling software, or accounting software.
- Experience in electrical, construction, HVAC, generator, or field service industries.
- Familiarity with Dynamics 365, SharePoint, or QuickBooks is a plus.
