CESG Office Manager
We are seeking an organized, dependable, and detail-oriented Office Manager to support our Palm Springs construction operations. This position will work closely with Project Managers, Superintendents, Foremen, field employees, vendors, subcontractors, and the Corporate Office.
The ideal candidate has construction administrative experience and is comfortable handling multiple responsibilities including payroll, human resources, purchasing, project documentation, invoices, and office administration.
Key Responsibilities
- Coordinate material, equipment, and rental requests with Project Managers and suppliers.
- Prepare and code subcontracts, purchase orders, and change orders using Kojo Purchasing or Sage 300 CRE.
- Coordinate COIs, W-9s, and related documentation.
- Process and reconcile employee timecards using Workforce Go.
- Serve as the administrative point of contact for California Wage and Hour matters including weekly payroll approvals.
- Serve as the administrative point of contact for California sales and use tax matters and coordinate with Corporate Accounting.
- Support Project Managers and field personnel with drawings, submittals, RFIs, timecards, material requests, and other project documentation.
- Assist with project closeouts, including O&M manuals, warranties, and record drawings.
- Maintain accurate project files, purchase order logs, and other records required on a per-project basis.
- Coordinate office, IT, equipment, supplies, cell phones, vehicles, and other operational needs with Corporate office.
- Assist with new-hire paperwork, HR coordination, safety documentation, and employee administrative questions.
- Provide general administrative support to the Palm Springs office and field operations.
Qualifications
- High school diploma or equivalent required.
- 3+ years of administrative or construction administration experience preferred.
- Payroll/timekeeping experience required.
- Commercial construction experience is strongly preferred.
- Experience with purchasing, purchase orders, subcontract administration, and invoices.
- Proficiency with Microsoft Excel, Word, and Outlook.
- Experience with Sage 300 CRE, Kojo, or any other ERP/Payroll platforms is a plus.
- Familiarity with California sales and use tax is preferred.
- Knowledge of California Wage and Hour regulations.
- Strong organizational, communication, and problem-solving skills.
- Ability to manage multiple priorities and meet deadlines.
- Ability to maintain confidential employee and company information.
Work Environment
This is primarily an office-based position with regular interaction with construction projects and field personnel. Occasional visits to active job sites may be required.

Pay: $26.00 - $28.00 per hour
