Job Description
Victor Rane is a growing litigation and trial firm with experienced attorneys looking for a highly qualified and experienced office administrator/manager. Our areas of focus are aviation, tort, employment, product liability, commercial and business litigation and white-collar defense. Must be dependable, self-motivated, and able to work independently or on a team. Must possess excellent oral and written communication skills. Responsibilities
· Coordinate office activities and operations to secure efficiency and compliance to company policies
· Train and supervise administrative support staff and delegate responsibilities appropriately
· Manage agendas/travel arrangements/appointments etc. for executives and attorneys as needed
· Manage phone calls and correspondence (e-mail, letters, packages etc.)
· Firm HR administration including new-hires, health insurance and other benefits administration
· Placing and monitoring employment ads, selecting and interviewing support staff candidates
· Firm billing, accounts payable and expense data entry as needed
· Create and update records and databases with personnel, financial and other data
· Ensure office supply needs are met
· Submit timely reports and prepare presentations/proposals as assigned
· Assist with growth of firm, managing new office setup and staffing as needed
· Assist colleagues whenever necessary
Skills
· Proven experience as legal office administrator, COO, or other relevant role
· Computer literacy and proficiency required
· Outstanding communication and interpersonal abilities
· Excellent organizational and leadership skills
· Familiarity with office management procedures and basic accounting principles
· Excellent knowledge of MS Office and office management software, legal software systems a must
· Qualifications in secretarial studies will be an advantage
· High school diploma; BS/BA in office administration or relevant field is preferred; Legal experience a must
