Job Title: Purchasing Specialist / Accounts Payable

Job Summary:
The Purchasing Specialist / Accounts Payable duties include providing support to our managers and employees, assisting in daily office needs and managing our company’s Purchasing activities and Accounts Payable. Purchasing Specialist / Accounts Payable to perform a variety of administrative, clerical, and accounting tasks.
Essential Functions:
Responsible for all the mail – coming and outgoing, sorting, making copies and classification. This includes print/scanning emailed invoices/collect mailed invoices
Place purchase orders with vendors as needed by managers and supervisors
Create purchase orders into accounting software as needed with accurate information
Communicate with vendors about all stages of product delivery
Check in material to verify it is identified to a project
Inventory Management utilization of accounting software to maintain accuracy stocking levels
Verify 3-way match; Invoices and credit card charges, PO and backup for purchases
Enter bills/credit memos into accounting software
Process checks, wire transfers, ACH payments, and credit card payments
Review A/P invoices and general ledger posting for accuracy
Responsible for all incoming phone calls; redirect any inquiries that people may have
Responsible for ordering all the office supplies as well as their organization
Responsibilities are not limited to the above-mentioned and may include assisting other departments within reasonable and related tasks.
Other Responsibilities:
Will occasionally stand, walk, use hands to fingers, handle and feel, reach with hands and arms, talk and hear.
Will frequently sit and occasionally climb or balance and stoop or kneel crouch.
Must use both hands for rapid mental muscular coordination, simultaneously.
Must be able to push/pull/lift with arms below waist/ at shoulder/ above shoulder level up to 30 pounds frequently.
Must lift with arms up to floor to waist and waist to shoulders; 30 pounds.
Ability to strenuously flex/grip with wrist/hands frequently (15 flexion/minute).
Use of keyboard and mouse for extended period.
Work Environment:
May work near moving mechanical parts.
May work around wet or humid conditions, in high, precarious places, fumes or airborne particles, outdoor weather conditions, extreme cold (non-weather), extreme heat (non-weather), risk of electrical shock, and /or risk of vibration.
Qualifications:
High School diploma a requirement
Bilingual in Spanish/English preferred
Typing at 36 wpm
Proficiency with MS Office programs
Ability to maintain strict confidential information
Ability to multitask and prioritize jobs
Strong organizational skills
Must be a “team player”, able to work well with fellow employees
Must be dependable, reliable, and able to work independently
Excellent interpersonal skills and problem-solving ability
Be professional, neat, and clean in appearance
Must be able to work overtime as needed

Pay: $22.00 - $25.00 per hour
