Responsibilities
- Manage and maintain detailed calendars, scheduling meetings, appointments, and events with precision.
- Provide comprehensive executive administrative support, including drafting correspondence and proofreading documents.
- Coordinate projects by tracking deadlines, preparing reports, and liaising with internal teams to facilitate seamless execution.
- Handle office management duties such as filing, data entry and overseeing office supplies inventory to maintain an organized workspace.
- Greet visitors, answering multi-line phone systems with professional phone etiquette, and directing calls efficiently.
- Assist with event planning for company functions or meetings by coordinating logistics, managing invitations, and ensuring all arrangements are executed flawlessly.
- Support personal assistant tasks as needed, including managing travel arrangements, processing expense reports and handling confidential information discreetly.
Experience
- Proven experience as an executive assistant or in a similar administrative role with a minimum of several years of office experience.
- Demonstrated proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and data entry systems.
- Strong organizational skills with the ability to multitask effectively across diverse responsibilities such as project coordination and clerical support.
- Excellent typing skills to produce accurate documentation swiftly.
- Experience and basic knowledge of office management practices including filing systems and customer service protocols.
- Familiarity with multi-line phone systems, calendar management tools such as Microsoft Outlook Calendar.
- Exceptional communication skills—both verbal and written—with a professional demeanor suitable for customer service interactions at the front desk or over the phone.
