Worker's Compensation & Safety Specialist (Human Resources Department)
Position Summary
Worker's Compensation & Safety Specialist is an exempt position within the Human Resources Department. Under limited supervision, this position is responsible for administering the Company's workers' compensation program, coordinating employee safety initiatives, and supporting various Human Resources functions. The Specialist works closely with management, insurance carriers, medical providers, and employees to ensure timely claims management, regulatory compliance, workplace safety, and successful return-to-work outcomes. This position also assists the Human Resources Department with employee relations, leave administration, compliance initiatives, and other HR projects as assigned.
Essential Duties and ResponsibilitiesWorkers' Compensation Administration
- Administer the Company's workers' compensation program from claim intake through claim resolution.
- Coordinate the reporting, investigation, documentation, and tracking of occupational injuries and illnesses.
- Maintain accurate workers' compensation records and ensure timely reporting to insurance carriers and third-party administrators.
- Serve as the primary liaison between employees, medical providers, claims adjusters, insurance brokers, legal counsel, and management.
- Monitor claim status and assist in resolving claim-related issues.
- Coordinate medical treatment and maintain communication with treating providers regarding employee work status.
- Manage the Return-to-Work and modified duty programs in collaboration with department leaders.
- Monitor claim trends and recommend strategies to reduce claim frequency, severity, and associated costs.
Safety & Risk Management
- Develop, implement, and maintain employee safety programs, policies, and procedures.
- Coordinate workplace safety training and educational programs.
- Conduct or assist with accident investigations and recommend corrective actions.
- Perform safety audits and identify opportunities to improve workplace safety.
- Support regulatory compliance with OSHA, Cal/OSHA, and other applicable safety requirements.
- Assist in developing safety initiatives and employee recognition programs that promote a culture of safety.
Human Resources Support
- Assist the Human Resources Department with employee relations matters and HR compliance initiatives.
- Prepare reports, metrics, and statistical data for management.
- Assist with HR policy implementation and special projects.
- Provide administrative support for other Human Resources functions as needed.
- Perform other duties as assigned.
Qualifications
- Bachelor's degree in Human Resources, Business Administration, Occupational Safety, Healthcare Administration, or a related field preferred.
- Minimum one (1) year of workers' compensation claims administration or related experience required.
- Experience in healthcare, skilled nursing, or long-term care is preferred.
- Clinical background (RN, LVN, Medical Assistant, or similar healthcare experience) is preferred but not required.
Knowledge, Skills, and Abilities
- Strong knowledge of California Workers' Compensation laws and claims administration.
- Knowledge of OSHA/Cal-OSHA safety regulations preferred.
- Excellent organizational, project management, and time management skills.
- Strong analytical and problem-solving abilities.
- Excellent written and verbal communication skills.
- Ability to maintain confidentiality and exercise sound judgment.
- Ability to prioritize multiple assignments in a fast-paced environment.
- Strong interpersonal skills with the ability to work effectively with employees at all organizational levels.
- Self-motivated with the ability to work independently and collaboratively.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint), Nitro and Adobe Acrobat.
- Experience with HRIS and claims management systems is a plus.
Working Conditions
The position is primarily performed in an office environment with travel to client facilities throughout California as needed. Occasional attendance at meetings, employee training sessions, and accident investigations are required.
