Responsibilities
- Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly
- Manage multi-line phone systems efficiently, directing calls to the appropriate departments or personnel
- Handle incoming correspondence, emails, and inquiries with professionalism and clarity
- Maintain organized filing systems, data entry records, and document proofreading to ensure accuracy
- Support office management tasks such as calendar management, appointment scheduling, and personal assistant duties
- Utilize computer skills including Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace to prepare reports and correspondence
- Assist with bookkeeping activities using QuickBooks or similar software, including basic bookkeeping and invoicing
- Ensure proper phone etiquette is maintained at all times, providing excellent customer support and support services
Experience
- Prior office experience or clerical experience demonstrating familiarity with front desk operations
- Proven ability to manage multi-line phone systems with professionalism and efficiency
- Bilingual skills are highly preferred to serve diverse client needs effectively
- Strong organizational skills with attention to detail in data entry, filing, proofreading, and document management
- Proficiency in computer literacy including Microsoft Office (Word, Excel) and Google Workspace applications
- Experience with administrative tasks such as calendar management, time management, and personal assistant responsibilities
- Knowledge of QuickBooks or bookkeeping software is a plus but not mandatory
- Excellent customer service skills combined with strong phone etiquette and support capabilities
