Our company is a friendly, established and prominent Real Estate Tax Appeal and Recovery Firm located in Chicago.
We are looking to fill the position of Administrative Assistant/Customer Service Representative preferably with property tax or real estate experience.
Key responsibilities include but are not limited to:
-Enter and manage new leads in the CRM system, ensuring accuracy and completeness.
-Track and update lead status throughout the property tax appeal process.
-Answer incoming calls from prospective and existing clients, providing courteous, clear and professional guidance on the property tax appeal process.
-Address client inquiries, resolve concerns, and escalate complex issues when necessary.
-Respond to client emails in a timely, professional, and well-written manner.
-Document Management & E-Signature Processing
-Prepare and send required documents to clients via e-signature platforms.
-Follow up to ensure timely completion and return of necessary paperwork.
-Maintain organized records of all signed agreements and supporting documents.
- Keeping sensitive customer and company information confidential
-Contact clients to remind them of upcoming or overdue payments.
-Professionally and confidently discuss payment obligations with clients.
-Provide updates on the status of their property tax appeal and any outstanding balances.
-Assist with general administrative tasks to ensure smooth daily operations.
-Work collaboratively with team members to enhance efficiency and client satisfaction.
-Take initiative to complete tasks independently without supervision.
-Utilize strong computer skills, including fast and accurate typing (minimum 50 WPM), efficient use of keyboard shortcuts, and quick navigation through CRM and other software.
-Perform tasks efficiently using copy/paste, file management, and other digital tools to improve workflow speed.

Job Requirements:
- Excellent communication skills, both verbal and written
- Be able to take directions from a supervisor throughout the day
-Demonstrate initiative by proactively managing tasks and responsibilities without the need for constant supervision
- Focused and works in a methodical and efficient manner
- Experience with CRM(Customer Relationship Management) software preferred
- Strong familiarity with Computers, Windows, Outlook, Word required, Excel preferred
- Preferred property tax experience or real estate experience
