Front Desk Administrator
Location: Concord, CA (1855 Gateway Blvd, Suite 570)
Position Type: Full-Time, In-Office M-F (Non-Remote)
Compensation: $22.00 – $27.00/hour (DOE) + Performance Bonus based on achievement of expected outcomes and also for achieving additional goals (Annual Target 10%).
About the Role
An established wealth management and financial planning firm in Concord, CA is looking for an organized, personable, and proactive Front Desk Administrator to join our team.
As the first point of contact for our firm, you will play a key role in managing client communications, streamlining office operations, and providing critical administrative support.
Key Responsibilities
Client Support & Communication
- Warmly greet and assist clients on the phone, in person, and via email.
- Handle general client inquiries and conduct periodic client outreach.
- Make initial and follow-up contacts with prospective leads to schedule appointments.
- Schedule client review meetings.
- Coordinate educational and marketing events.
Administrative & Operations
- Process, review, and follow up on client paperwork to ensure accurate completion.
- Resolve administrative issues or delays in processing.
- Maintain and update client records in our CRM and online systems.
- Handle incoming/outgoing mail, maintain physical and digital files, and submit weekly/monthly logs.
- Document and update office policies and standard operating procedures.
- Other general office tasks as assigned.
Qualifications & Requirements
Required Skills & Traits
- Professionalism: Courteous, respectable, and demonstrates high integrity in both professional and personal conduct.
- Communication: Excellent phone etiquette and a genuine enjoyment of speaking with prospective and current clients. Fluent in English.
- Tech-Savvy: High proficiency with Windows OS and Microsoft Office Suite. Must possess a smartphone with texting capability.
- Work Ethic: Resourceful, fast learner, detail-oriented, and able to work independently with strong follow-up skills. Good with numbers.
- General: Authorized to work in the United States with reliable transportation.
- Background Check: Must pass a criminal background check (no felonies in the last 10 years) and a credit check (no bankruptcies in the last 10 years and no accounts currently in collection).
Preferred (Not Required)
- Experience in or familiarity with taxes, investments, or retirement planning.
- College degree.
- Active FINRA licensing (Series 7, 66, 65, or 63).
