Job Summary

- Manage daily office operations, including scheduling, patient flow, and administrative workflows to optimize efficiency and service quality
- Supervise dental office staff, including front desk personnel, dental assistants, and hygienists, providing guidance and support to maintain high performance standards
- Coordinate treatment plans with patients, explaining procedures clearly, addressing concerns, and ensuring understanding of financial responsibilities as Treatment Coordinator
- Oversee billing processes, insurance claims, and collections using dental practice management software such as Eaglesoft or Dentrix to ensure accurate financial transactions
- Maintain compliance with HIPAA regulations and manage medical records securely in accordance with legal standards
- Monitor practice finances through budgeting, fiscal management, and financial reporting to ensure profitability and resource allocation
- Support human resources functions including hiring, training, performance evaluations, and staff development initiatives
- Utilize electronic health record (EHR) systems like eClinicalWorks or Epic to document patient information accurately and efficiently
- Facilitate communication between clinical staff and patients to promote a positive experience from appointment scheduling through post-treatment follow-up
- Ensure adherence to healthcare management protocols such as JCAHO standards or managed care requirements for quality assurance
Qualifications
- Proven experience in dental office management or healthcare administration with a strong background in medical office operations
- Demonstrated supervisory skills with the ability to lead diverse teams effectively in a fast-paced environment
- Proficiency in dental practice management software including Eaglesoft or Dentrix; familiarity with EMR/EHR systems like eClinicalWorks or Epic is highly desirable
- Strong knowledge of medical terminology, medical records management, HIPAA compliance, and healthcare regulations
- Experience in fiscal management including budgeting, financial reporting, billing practices, and managed care coordination
- Excellent communication skills for treatment planning discussions and team collaboration
- Background in medical administrative support or clinic experience preferred; experience in acute care or hospital settings is a plus
- Ability to handle multiple priorities efficiently while maintaining attention to detail in a busy dental practice environment
