Job Summary
At Zinovations Aesthetics & Longevity Medicine, we're more than a medical spa practice—we're a concierge wellness destination dedicated to helping our patients look, feel and live their best through regenerative aesthetics and longevity medicine.
We're looking for an energetic, organized, outgoing and people-oriented Front Desk & Patient Care Coordinator who loves creating exceptional patient experiences and thrives in a fast-paced, luxury environment.
This is much more than answering phones. You'll be the heart of our practice, the first smile our patients see, and an important ambassador for the Zinovations brand both inside and outside our office.
This position will begin on a part-time basis, with the opportunity to transition into a full-time role as our practice continues to grow.
Schedule:
- Mondays
- Thursdays
- Fridays
- One Saturday per month

Responsibilities
- Welcome every patient with warmth, professionalism and enthusiasm
- Answer phones and respond promptly to patient inquiries
- Schedule appointments and efficiently manage the daily calendar
- Confirm appointments and help minimize cancellations and no-shows
- Check patients in and out while ensuring a seamless concierge experience
- Discuss treatment plans, memberships, financing options and packages
- Assist with patient education and follow-up communication
- Coordinate consultations and treatment scheduling
- Develop strong relationships with patients to encourage long-term loyalty and patient retention
- Follow up with patients after treatments and help reappoint them for recommended care
- Assist with membership renewals, package utilization and recall programs
- Help maintain a beautiful, organized, and welcoming office
- Manage patient records and administrative tasks
- Support social media by capturing occasional photos and videos when appropriate
- Assist with practice events, workshops, and open houses
- Build relationships with local businesses, fitness studios, wellness professionals, country clubs, and community organizations
- Represent Zinovations at networking events, health fairs, and community functions when needed
- Assist with local marketing initiatives, referral programs, and patient appreciation events
- Work closely with our marketing team by sharing ideas, helping create content, and supporting promotions and campaigns
- Build genuine relationships that help grow our practice through exceptional service, referrals, and community engagement
- Work closely with the clinical team to deliver outstanding concierge-level patient care

- Previous experience in aesthetics, medical offices, dental practices, luxury hospitality, sales, or customer relations is preferred but not required
- English required. Bilingual in Spanish is a highly desired

Physical Demands and Working Environment:
·The conditions herein are representative of those that must be met by an employee to successfully perform the essential functions of this job. Work is performed primarily in a standard front office and treatment office environment with extensive public contact and frequent interruptions. No phone calls to the office or personal visitors coming to the office. No smoking on premises. No personal cell phone use or texting at front desk. Primary functions require sufficient physical ability and mobility to work in an office setting; to stand or sit for prolonged periods of time; to occasionally stoop, bend, kneel, crouch, reach, and twist; to lift, carry, push, and/or pull light to moderate amounts of weight up to 30 lbs; to operate office equipment requiring repetitive hand movement and fine coordination including use of a computer keyboard; and to verbally communicate to exchange information; and see in the normal visual and hearing ranges with or without correction.
