Job Summary
We are seeking a professional and organized Receptionist/Secretary to join our team. Duties
- Greet visitors and clients at the front desk with professionalism and courtesy
- Manage multi-line phone systems, directing calls appropriately and taking detailed messages
- Schedule appointments, manage calendars, and coordinate meetings using Google Workspace or Microsoft Office tools
- Maintain organized filing systems, including digital data entry and document proofreading
- Handle incoming and outgoing correspondence, including emails and postal mail
- Assist with office management tasks such as supply inventory, ordering, and basic bookkeeping using QuickBooks or similar software
- Provide customer support by addressing inquiries promptly and effectively
- Support administrative functions such as typing reports, maintaining records, and supporting personal assistant duties when required
- Ensure office organization through filing, data entry, and document management to enhance workflow efficiency
Requirements
- Proven experience in an office environment or clerical role with strong organizational skills
- Excellent computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry tools
- Strong phone etiquette skills with experience managing multi-line phone systems
- Bilingual abilities are preferred to assist diverse clientele effectively
- Demonstrated clerical experience including filing, proofreading, and administrative support tasks
- Exceptional organizational skills with the ability to prioritize tasks efficiently
- Ability to work independently with minimal supervision while maintaining attention to detail
- Personal assistant or calendar management experience is advantageous
- Knowledge of QuickBooks or bookkeeping software is a plus
- Excellent communication skills—both written and verbal—and a professional demeanor in English and Spanish
