Overview
The Office Manager is responsible for overseeing the daily operations of the home care office while supporting business growth through community outreach, referral development, and client recruitment. This position combines administrative leadership with field-based marketing and relationship-building activities. The Office Manager will maintain office efficiency, coordinate communication between caregivers and clients, and actively build professional relationships with hospitals, rehabilitation centers, case managers, social workers, physicians, discharge planners, and community organizations.
Responsibilities
- Oversee the daily operations of the home care office to ensure efficient workflow and high-quality administrative support
- Respond to client and caregiver inquiries professionally through phone, email, and office communication channels
- Coordinate communication between caregivers, clients, families, and office staff to support continuity of care
- Maintain client and caregiver files in compliance with company policies and state regulations
- Assist with scheduling, staffing coordination, onboarding, and caregiver support
- Supervise administrative staff and delegate tasks to maintain productivity and organization
- Monitor office supplies, filing systems, equipment, and administrative needs
- Handle clerical duties such as data entry, recordkeeping, document preparation, and maintaining confidential information
- Support bookkeeping and administrative functions using Microsoft Office, Google Workspace, QuickBooks, or similar software
- Assist with maintaining compliance documentation, operational records, and office procedures
- Conduct in-person community outreach to recruit and refer potential clients and build agency awareness
- Develop and maintain professional relationships with hospitals, rehabilitation centers, nursing facilities, case managers, social workers, physicians’ offices, discharge planners, senior organizations, and community partners
- Represent the agency at networking events, health fairs, and community meetings
- Educate referral sources and families about available non-medical home care services
- Distribute marketing materials and promote agency services throughout service areas
- Follow up with prospective clients, referral sources, and families regarding service inquiries and admissions
- Support client satisfaction by addressing concerns promptly and professionally
- Maintain office cleanliness, professionalism, and compliance with company policies and safety standards
Requirements
- Previous experience in office management, administrative support, healthcare, or home care preferred
- Strong communication, customer service, and organizational skills
- Ability to multitask and work in a fast-paced environment
- Proficiency in Microsoft Office, Google Workspace, email communication, and basic office software
- Professional demeanor and ability to maintain confidentiality
- Reliable transportation and willingness to travel locally for community outreach and referral development
- Ability to work independently and as part of a team
- High school diploma or equivalent required; additional administrative or healthcare experience preferred
