Overview
The Junior Document Management Specialist applies fundamental concepts, processes, practices, and procedures to support technical assignments associated with document and records management for the organization. This position requires practical experience and training and is performed under the supervision of senior staff. The specialist assists in the implementation and administration of enterprise-wide document management systems and related procedures to ensure the secure and efficient lifecycle management of electronic records and documents.
Responsibilities
- Document Management: Assist in the implementation, configuration, and administration of enterprise document management systems (DMS) to support organizational needs for capturing, storing, retrieving, sharing, and disposing of electronic documents and records.
- Records Lifecycle Support: Support the execution of document lifecycle processes, including version control, access permissions, archiving, and destruction according to established policies and schedules. Ensure all records are managed in compliance with applicable regulations and internal procedures.
- User Support: Provide end-user support and troubleshooting for DMS applications as directed. Address user inquiries, escalate complex issues, and assist with training and onboarding for new users.
- Data Entry and Quality Control: Conduct accurate data entry, indexing, and metadata tagging of electronic records. Review and validate document uploads to maintain data integrity within the system.
- Policy and Procedure Compliance: Follow protocols for document retention, privacy, and security. Support audits and compliance reviews by providing requested documentation and participating in quality assurance activities under supervision.
- Continuous Improvement: Recommend improvements to document management processes and assist with testing and implementation of new procedures or upgrades as directed by senior team members.
- Documentation: Prepare and maintain logs, user documentation, and records of system administrative activities, changes, and incidents. Ensure documentation is accurate and up to date.
Education
- Highschool Diploma or equivalent. Associate’s degree or higher in Information Management, Library Science, Information Technology, Business Administration, or a related field is preferred.
