Job Summary
We are seeking a dynamic and highly organized Office Manager with expertise in office administration inclusive of AR/AP. In this pivotal role, you will oversee the QuickBooks accounting system, manage office records, coordinate vendor relationships, and proactive approach and strong communication skills will ensure our office runs smoothly, efficiently, and with a focus on accuracy and confidentiality. This position offers an opportunity to contribute to a growing construction firm while utilizing your comprehensive office management and bookkeeping experience.
Responsibilities
- Manage all aspects of office administration, including filing, front desk duties, multi-line phone systems, and calendar management to ensure seamless daily operations.
- Oversee bookkeeping activities, including data entry, invoice processing, expense tracking, and bank reconciliations using QuickBooks or similar financial software.
- Handle construction-specific accounting tasks such as job costing, budget monitoring, payroll processing, and financial reporting.
- Maintain vendor relationships by managing procurement processes, negotiating terms, and ensuring timely payments.
- Assist with event planning for company meetings or client events to promote team engagement and professional networking.
- Ensure compliance with company policies and industry regulations while handling sensitive or confidential information with integrity.
- Support project and sales manager by providing schedule management assistance and preparing detailed spreadsheets for tracking project milestones and budgets.
Qualifications
- Proven experience in office management within a construction or related industry environment.
- Strong proficiency in QuickBooks accounting software along with solid knowledge of bookkeeping practices.
- Demonstrated supervisory experience leading administrative or clerical teams effectively.
- Excellent organizational skills with the ability to manage multiple priorities simultaneously.
- Proficiency in Microsoft Office Suite, especially Excel spreadsheets for data analysis and reporting.
- Knowledge of construction accounting principles including job costing, budgeting, and financial reporting.
- Exceptional communication skills—both verbal and written—and professional phone etiquette.
- Experience handling confidential information with discretion and integrity.
- Ability to adapt quickly to changing priorities while maintaining attention to detail.
- Prior experience with human resources functions such as onboarding or payroll processing is preferred but not required.

Pay: $48,160.08 - $60,000.00 per year
