NEPA CPA is an independent CPA firm in Wilkes-Barre serving small business owners, short-term rental hosts, and real estate investors. We're hiring a firm administrator to run day-to-day operations as the firm grows.
The role starts as a part-time position at 20–25 hours per week outside tax season and full time during tax season. Full time salary is possible once business needs allow.
The role
You'll own the operational side of the firm - the work that keeps client engagements moving and the office running. That includes both the day-to-day execution and the longer-term work of building out the systems and documentation we don't have yet.
Day-to-day
- Client onboarding through our intake pipeline (Soraban, secure portals)
- Following up with clients on outstanding tax documents during filing season
- Scheduling consultations, signings, and quarterly check-ins
- Assembling and delivering completed returns
- Phones, email triage, and handling client questions within your scope
- Maintaining files and our practice management system
- Engagement letter workflows, billing, and AR follow-up
- Managing and assigning projects
Building
- Writing and maintaining SOPs for firm processes
- Improving intake, document collection, and client communication workflows
- Owning the administrative calendar around tax season
What you need
- Prior experience at a CPA firm is required - this isn't a generalist admin role. You should know how a tax practice runs from the inside.
- Track record of running an office or owning operational work, not just supporting it
- Ability to document a process clearly and write usable SOPs
- Comfort with Microsoft 365, secure file portals, and e-signature tools
- UltraTax CS or Soraban experience is a plus, not required
- Discretion with financial information
Logistics
- Hybrid: split between the Wilkes-Barre office and remote
- Schedule is within standard business hours (Mon–Fri, daytime)
- Part-time: 20–25 hours/week at $28–$41/hr
- Expected salary on upon permanent full-time transition: $60,000–$85,000
Benefits
- 120 hours of PTO accrued annually once full-time, prorated during part-time phase based on hours worked (one combined pool - vacation, sick, personal)
- 40-hour carryover cap at year-end; any balance above 40 hours is paid out at current rate
- Tax season blackout (Feb 15 – Apr 15, Aug 15 – Oct 15): vacation time not available; sick time honored as needed; personal days case-by-case
- Accrued balance paid out at current rate at separation
- 8 holidays plus office closures for Thanksgiving week and Christmas through New Year's. Office closed but available for staff who choose to work
- Health and retirement benefits to be evaluated as the role transitions to full-time
Pay: $28.00 - $41.00 per hour
