Essential Job Responsibilities
- Schedule meetings, reserve rooms, attend meetings, record minutes, make phone calls, travel arrangements and other services as needed.
- Produce final drafts of minutes, manuals, rosters, grant requests, and misc. Executive documents.
- Perform secretarial, confidential, and administrative assignments for the CAO, utilizing a detailed knowledge of the organization's operations, procedures, and personnel.
- Within specified limits, assist the Chief Administrative Officer in planning and conducting public/staff/customer/policy group relations programs/activities designed to create and maintain a favorable image for the Executive Office and the organization.
- Maintain and organize the Chief Administrative Officer’s data/ files.
- Make appointments, maintain calendars, and act as liaison for Executive staff.
- Supervise part-time clerical/data entry staff and perform other miscellaneous duties assigned.
- Serve as a resource to the managers that report to the CAO.
- Open and distribute mail; open/close office, etc.
- Attend job-related meetings and training courses as needed.
- Special projects and other duties as assigned.
Knowledge/Skills/Experience Required
- Bachelor’s Degree in Office Administration, Business Administration, or related field.
- Minimum of three years of general office/administrative experience.
- Working knowledge of Head Start Performance Standards, Office of Management & Budget (OMB), Program Information Report (PIR), MS childcare regulations, or other related areas in a non-profit organization.
- Strong computer literacy and proficiency using Windows, Microsoft Office, Excel, and email.
- Strong communication skills, both written and verbal. Must ensure timely dissemination of information between department and/or employee.
