Job Summary
We are seeking a dedicated and compassionate Patient Care Representative to join our Dental team at Smile Spot Dentistry. In this vital role, you will serve as the first point of contact for patients, providing exceptional customer service while managing administrative and clinical tasks. You will handle a variety of responsibilities including appointment scheduling, insurance verification, dental records management, and supporting clinical staff with documentation review and care plan coordination. Your expertise in electronic health record (EHR) systems and dental billing will be instrumental in delivering efficient dental services. Responsibilities
- Greet patients warmly and assist with check-in procedures at the front desk, ensuring a positive experience.
- Schedule appointments efficiently using Dental systems such as Dentrix, Eagle Soft, Denticon etc.
- Verify insurance coverage, including Medicare and dental insurance policies, ensuring compliance with HIPAA regulations.
- Manage patient records by accurately updating electronic health records (EHR) and maintaining confidentiality according to clinical confidentiality policies.
- Review medical/dental documentation for accuracy, including dental coding, and billing information to support dental billing processes.
- Assist clinical staff with care plan documentation, dental coding, and review of patient charts for completeness.
- Handle phone communication professionally, providing excellent customer service while scheduling appointments or answering inquiries.
- Maintain organized filing systems for dental records and perform data entry tasks such as 10 key typing with precision.
- Support office operations through clerical tasks like faxing, scanning documents, and managing office supplies.
- Collaborate with healthcare teams to ensure seamless coordination of patient care and follow-up appointments.
Skills
- Proven experience in dental office administration or healthcare support roles with clinic or dental clinic experience preferred.
- Strong knowledge of EMR/EHR systems.
- Excellent understanding of dental terminology, dental coding, and dental insurance processes including Medicare billing.
- Bilingual abilities are highly valued to serve diverse patient populations effectively.
- Proficiency in Microsoft Office Suite (Word, Excel) along with strong computer skills for documentation review and data entry tasks.
- Exceptional customer service skills combined with phone etiquette and professional communication abilities.
- Ability to handle sensitive information confidentially while adhering to HIPAA regulations.
- Previous clinic or medical office experience involving front desk duties, scheduling, or administrative support is preferred.
- Strong organizational skills with attention to detail in filing and maintaining accurate medical records.
- Familiarity with health information management practices and clinical confidentiality policies enhances your effectiveness in this role.
