Position Summary
The Office Manager serves as the senior administrative leader of the practice and is responsible for overseeing all non-provider operations.
This position works directly with the Medical Director and is responsible for ensuring efficient daily operations, exceptional patient service, staff accountability, regulatory compliance, and continuous operational improvement.
The successful candidate will help build scalable systems that support future growth while creating a positive, professional workplace culture.
Essential Responsibilities
Practice Operations
- Oversee day-to-day operations of the medical practice
- Ensure efficient patient flow throughout the clinic
- Coordinate daily clinic operations
- Lead daily operational huddles
- Monitor provider schedules and clinic utilization
- Identify workflow inefficiencies and implement improvements
- Maintain and improve Standard Operating Procedures (SOPs)
- Ensure consistent operational excellence across departments
Leadership & Staff Management
- Supervise all non-provider staff
- Recruit, interview, and onboard new employees
- Coach and mentor staff members
- Conduct performance evaluations
- Address employee performance concerns
- Develop accountability systems
- Foster teamwork and professionalism
- Coordinate staff training and continuing education
- Conduct regular staff meetings
- Promote employee engagement and retention
Human Resources
- Assist with hiring and recruitment
- Verify references and credentials
- Coordinate onboarding and orientation
- Maintain employee records
- Monitor attendance and scheduling
- Assist with performance improvement plans
- Support employee development initiatives
Revenue Cycle & Financial Operations
- Monitor practice financial performance
- Collaborate with outsourced billing company
- Support transition to in-house billing operations
- Monitor key revenue cycle metrics
- Improve scheduling utilization
- Reduce claim denials
- Improve authorization turnaround times
- Assist with operational budgeting
- Coordinate vendor relationships
- Oversee purchasing and inventory management
Patient Experience
- Promote exceptional customer service
- Resolve patient concerns professionally
- Improve scheduling efficiency
- Reduce telephone hold times
- Improve communication between patients and staff
- Monitor patient satisfaction
- Ensure every patient receives compassionate, respectful care
Compliance
Maintain compliance with:

Qualifications (Required)
- Minimum 5 years of medical office management experience
- Minimum 3 years managing a physician practice or specialty clinic
- Previous supervisory experience
- Strong healthcare operations knowledge
- Experience leading multidisciplinary teams
- Excellent communication and leadership skills
- Strong organizational and time management skills
- Ability to manage multiple priorities in a fast-paced environment
- Proficiency with Microsoft Office
- Ability to maintain confidentiality and professionalism
Preferred
- Bachelor's degree in Healthcare Administration, Business Administration, Healthcare Management, or a related field
- Experience in Pain Management, Orthopedics, Neurosurgery, Spine, or PM&R
- Experience with eClinicalWorks (eCW)
- Knowledge of Medicare, Medicaid, Commercial Insurance, Workers' Compensation, and Personal Injury claims
- Experience with Prior Authorizations
- Experience with Revenue Cycle Management
- Experience developing Standard Operating Procedures (SOPs)
- Experience implementing KPIs and performance dashboards
