Job Summary:
The Medical Scheduler is responsible for coordinating patient appointments and ensuring the smooth operation of the scheduling process in a healthcare setting. This role requires excellent communication and organizational skills to provide exceptional service to patients and support healthcare providers. After one year of employment and with leadership approval, this position may offer the option to work remotely.
Key Responsibilities:
- Appointment Scheduling:
· Schedule, reschedule, and cancel patient appointments efficiently.
· Coordinate appointments for various medical services, ensuring proper allocation of time slots.
· Maintain online scheduling portal through Promptly to complete and verify appointments.
- Patient Communication:
· Interact with patients via phone, email, and in-person to address scheduling inquiries and provide necessary information.
· Assisting in answering the operator line for patient questions.
-Medical Record Management:
· Maintain accurate and up-to-date patient records, including appointment history and documentation.
· Ensure proper entry of patient information into electronic health record (EHR) systems.
· Review and organize insurance details and patient charts in preparation for scheduled appointments with the assigned provider. (Chart prep)
- Insurance Verification:
· Verify patient insurance coverage and eligibility prior to scheduling appointments.
· Communicate any insurance-related issues to patients and assist in resolving them.
-Collaboration:
· Work closely with healthcare providers and clinical staff to ensure efficient scheduling and patient flow.
· Assist in coordinating referrals and follow-up appointments as needed.
· Auditing providers schedule for scheduling errors.
Qualifications:
· Education: High school diploma or equivalent; associate’s degree preferred.
· Experience: Previous experience in a medical office or healthcare setting is highly desirable.
Skills:
· Excellent verbal and written communication skills.
· Strong organizational and multitasking abilities.
· Proficiency in computer systems and EHR software.
· Ability to handle sensitive information with confidentiality.
· Working Conditions:
· May require sitting for extended periods and occasional lifting of materials.
· Work in a fast-paced healthcare environment, interacting with patients, families, and medical staff.
