Position Summary
The Grants & Contracts Coordinator provides administrative, financial, and programmatic support for grant and contract management. This role ensures compliance with funding requirements by coordinating documentation, monitoring budgets and expenditures, tracking reporting deadlines, reviewing invoices, maintaining agreements, and supporting program staff throughout the grant lifecycle.
Key Responsibilities
- Collaborate with program staff on grant administration activities.
- Complete and maintain standard grant and contract forms.
- Update grant documentation and records annually.
- Monitor program performance measures and reporting requirements.
- Provide training and guidance to subrecipients.
- Review and verify grant budgets for completeness and accuracy.
- Track reporting deadlines, invoicing, and audit requirements.
- Review invoices and identify budget discrepancies or inaccuracies.
- Prepare and process grant-related documents and correspondence.
- Collect and maintain required approvals and signatures.
- Maintain MOUs, contracts, and other grant agreements.
- Track document approvals using Adobe Sign.
- Monitor grant expenditures and funding balances.
- Maintain client records and monitor ongoing grant activities.
- Cross-reference budget narratives with budget justifications.
- Provide guidance to program staff on grant processes and responsibilities.
- Review monthly invoices and fiscal documents for accuracy.
- Prepare grant amendments and supporting documentation.
- Develop and maintain dashboards for monthly expenditures and performance metrics.
Required Qualifications
- Bachelor's degree in Business, Public Administration, Finance, Accounting, or a related field.
- Experience supporting grants, contracts, or program administration.
- Knowledge of budget management, invoicing, and financial reporting.
- Familiarity with grant compliance and audit requirements.
- Strong organizational, analytical, and communication skills.
- Proficiency with Microsoft Office Suite and Adobe Sign.
