Duties
- Manage front desk responsibilities, including greeting visitors and handling multi-line phone systems with professionalism and courtesy
- Oversee calendar management, scheduling appointments, meetings, and coordinating events to maximize productivity
- Perform data entry tasks accurately using spreadsheets and productivity software such as Microsoft Office and Google Workspace
- Maintain organized filing systems—both digital and physical—ensuring easy retrieval of documents and records
- Support bookkeeping activities using QuickBooks or similar accounting software for invoicing, expense tracking, and financial record keeping
- Provide excellent customer service by responding promptly to client inquiries via phone or email, ensuring positive interactions
- Assist with clerical tasks such as proofreading documents, word processing, and preparing reports or correspondence
- Handle office supply inventory management to ensure necessary materials are stocked and readily available
- Support other administrative functions including personal assistant duties, document proofreading, and technical troubleshooting as needed
Experience
- Proven office management experience with a strong background in administrative support roles
- Demonstrated proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Experience working with bookkeeping software like QuickBooks is highly desirable
- Strong organizational skills with the ability to prioritize tasks effectively in a fast-paced environment
- Excellent phone etiquette and communication skills—bilingual abilities are a plus for diverse client interactions
- Familiarity with multi-line phone systems, data entry, filing procedures, and calendar management
- Previous experience in customer service or front desk roles within medical or dental offices is advantageous
- Technical proficiency with computer literacy across various productivity tools and software platforms
- Ability to handle sensitive information discreetly while maintaining high levels of accuracy in data entry and proofreading
