Overview
We are seeking a dynamic and highly organized Office Manager to oversee daily administrative operations and ensure the smooth functioning of our office environment. This role is vital in coordinating administrative tasks, managing office systems, and supporting team productivity. As an Office Manager, you will be the backbone of our office operations, fostering a welcoming atmosphere while maintaining high standards of organization and professionalism.
Responsibilities
- Manage front desk operations, including greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette.
- Oversee calendar management and scheduling for team meetings, appointments, and conference rooms using productivity software and Google Workspace tools.
- Maintain accurate records through data entry, filing, and document proofreading to support administrative processes.
- Handle bookkeeping tasks such as invoicing, expense tracking, and basic QuickBooks accounting functions.
- Coordinate office supplies procurement, inventory management, and vendor relationships to ensure operational efficiency.
- Support client communication efforts by providing excellent customer service and assisting with client inquiries via phone or email.
- Assist with special projects including event planning, document preparation, and other administrative duties to enhance office productivity.
Requirements
- Proven experience in office management or administrative roles with strong clerical skills and organizational abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, spreadsheets, and productivity software. QUICK BOOKS A MUST, PROFICIENT
- Technical proficiency with computer literacy including data entry, file management, and general computer skills.
- Experience with multi-line phone systems and phone communication best practices.
- Bilingual abilities are highly desirable to support diverse client and team interactions.
- Knowledge of bookkeeping software such as QuickBooks is preferred for financial tasks.
- Excellent time management skills with the ability to prioritize tasks efficiently in a fast-paced environment.
- Strong interpersonal skills including customer service orientation, front desk presence, and professional phone etiquette.
- Previous experience in office or medical/dental receptionist roles is advantageous to understand client support needs.
- Personal assistant or calendar management experience will be considered a plus for supporting executive schedules.

Pay: $23.50 - $34.25 per hour
