Job Title: Legal Assistant/Paralegal – Estate Planning & Probate
About the Position
We are a small, client-focused estate planning and probate law firm seeking an experienced, dependable, and detail-oriented Legal Assistant to support our attorney. This position is ideal for someone who is highly organized, enjoys working in a collaborative small-office environment, and can manage multiple responsibilities with accuracy and professionalism.
Schedule: Monday through Friday, 8:30 a.m. to 5:00 p.m.
Compensation: Salary commensurate with experience.
Key Responsibilities
· Prepare, proofread, and electronically file legal documents, including petitions, notices, orders, waivers, consents, and correspondence.
· Electronically file court documents in multiple Florida counties.
· Track probate deadlines and maintain accurate case calendars to ensure timely completion of all required filings and tasks.
· Communicate professionally with clients, courts, Clerk of Court offices, property appraisers, financial institutions, and other third parties by telephone, email, and mail.
· Schedule client meetings, consultations, and document signing appointments.
· Conduct client intake, open and organize new files, process daily mail, and maintain accurate electronic and physical client records.
· Perform general administrative duties, including copying, scanning, mailing, filing, and document management.
· Record original documents with the appropriate Clerk of Court offices.
· Prepare and send client invoices by email and mail, process payments, and assist with accounts receivable.
· Monitor office supply inventory and order supplies as needed.
· Provide general administrative support to ensure the efficient operation of the office.
Qualifications
· Prior legal assistant experience in estate planning and/or probate law preferred.
· Working knowledge of Florida probate procedures and the Florida Rules of Civil Procedure.
· Excellent written and verbal communication skills.
· Strong organizational skills with exceptional attention to detail.
· Ability to prioritize tasks, meet deadlines, and work independently with minimal supervision.
· Proficiency with Apple computers and Microsoft Office required.
· Experience with Clio case management software and ProDoc document automation is strongly preferred.
