Job Summary
We are seeking a highly organized and detail-oriented Front Office Surgical Coordinator to join our team. The Front Desk/Surgical Coordinator is responsible for managing and coordinating all aspects of clinic appointments and surgical scheduling, ensuring a seamless experience for patients, physicians, and clinical staff. This role requires strong communication skills, the ability to multitask, and a commitment to providing exceptional patient care.
Summary of Responsibilities:
- Greeting visitors
- Managing communications: phones, emails, handling inquiries from prospective clients/patients.
- Insurance verification
- Schedule appointments: spa/surgical/ office procedures/ new patient/follow up appointments
-Schedule surgical procedures in coordination with surgeons, patients, and hospital facilities
-Verify patient information, insurance coverage, and patient responsibilities
- Pre-authorizations
- Maintain accurate and up-to-date patient records
- Provides information about the company's services and products.
-Accurately collects and posts patient responsibilities.
-Communicate pre-operative and post-operative instructions to patients
-Confirm surgery dates, times, and logistics with all parties involved
-Handle changes, cancellations, and rescheduling efficiently
-Ensure compliance with healthcare regulations and office policies
-Provide excellent customer service and support to patients and families
-Accurately documents in a EHR system.
-Proficient in Microsoft Office and other communication apps.
-Proficient in the use of office equipment including Point of Sales platforms.
-Maintains a well-organized office space and reception area at all times

Qualifications
- Minimum of three years of previous experience working in a medical office or healthcare setting, ideally a surgical office. Must have a Medical Assistant, Medical Biller, or Medical Office Specialist Certificate.
- Proficiency in medical terminology, ICD-10, ICD-10 coding systems, CPT, medical necessity and insurance guidelines.
- Strong knowledge of insurance processes to include billing Medicare, Medicaid, commercial plans, and Workers Compensation.
- Familiarity with medical records management and documentation
- Excellent attention to detail and accuracy in documentation.
- Strong communication skills, both written and verbal
- Ability to work independently and as part of a team
