JOB DESCRIPTION – Events Coordinator
POSITION OVERVIEW
The Event Coordinator manages and produces events for Clients and Cord Media Company from start to finish, providing outstanding customer service and attention to detail. They will oversee all aspects of event planning and management. After discussing the scope and budget with the Account Lead, they will be in charge of organizing all details, ensuring to stay within the established budget, and that all post event related activities are completed. Also assists Account Executives and the Director of Client Services in maintaining and nurturing healthy Client relationships.
Events can be considered a small mixer or activation with fewer than 10 people, a large grand opening, or virtual.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following: Other duties may be assigned.
- Plan and organize events in accordance with financial and time restraints.
- Oversee actual event and be present when required
- Research and negotiate with different vendors and maintain an accurate list (catering, decorators, musicians etc.). Act as the main point of contact.
- Coordinate all client level event campaigns, from planning to campaign execution, campaign objectives and expectations, recaps, and more.
- Coordinate all aspects of the event planning and process, including collaboration with subcontractors, venue identification, menu development, printing and design of materials and budget tracking, and more.
- Ensure follow up, budget post forma/reconciliation and recap is completed and sent to Account Manager for approval.
- Identify and develop opportunities for clients through promotions, community sponsorship, events.
- Coordinate off site necessities such as displays, contract obligations, signage requirements and logistics.
- Identify client gifts and swag.
- Track RSVPs, when necessary.
- Coordinate with Social Media and Public Relations Departments, when necessary.
- Maximizes the agency’s profitability by proactively recognizing opportunities for additional services such as videos, photography, etc.
- Contributes to Accounts Team through planning, strategy, and content creation.
- Coordinates all logistics for Cord Media attended tradeshows and company events (Job will not require attending all trade shows. Staffing to be determined per.)
- In charge of all swag and promotional inventory for Cord Media.
- Attend weekly, monthly or, as needed, client and company meetings.
- Travel will be required at times.
- Flexible to changing policies and procedures, as well as varying deadlines
- Other duties as assigned.
QUALIFICATIONS
High-level understanding of media relations and client management. Prior management and supervisorial experience. Advanced knowledge of grammar rules and writing structure. Able to meet tight deadlines. Organized. Resourceful. Flexible. Ability to multi-task. Attention to detail.
EDUCATION
Bachelor’s Degree in Communication or related field preferred.
REQUIREMENTS
Bachelor’s Degree from accredited university required.
1 year at a related job at a different company
OR
6 months working at Cord Media in another role
LANGUAGE
Excellent written and verbal communication required. Ability to effectively present information and respond to questions from employees, customers, media and the general public.
MATHEMATICAL SKILLS
Ability to calculate basic figures.
REASONING ABILITY
Ability to solve practical problems and deal with an assortment of variables. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
REQUIRED TECHNICAL / OTHER SKILLS / LICENSES
Working knowledge of computers and most commonly used business software, to include: Microsoft Office, E-mail, and Internet.
Since driving a vehicle during the scope of employment is necessary, incumbent should possess a valid California driver’s license and carry automobile liability insurance that meets or exceeds State requirements. A clear Motor Vehicle Record is required. Updated MVR’s may be periodically collected.
Maintains a positive, upbeat role in the Company. Promotes and exemplifies the Company’s values and represents departmental objectives and interests to internal and external customers. Detail oriented and ability to work undertight deadlines. Ability to travel, if necessary, to client meetings, trade shows and other events. Displays professional conduct within and outside office when conducting agency business.

PAY RATE IS BASED ON EXPERIENCE.

Pay: $18.00 - $22.00 per hour
