Job Summary
We are a growing electrical contracting company seeking an experienced and highly organized Office Manager to oversee daily office operations, accounting, and administrative functions. The ideal candidate has a strong background in construction accounting, is highly proficient in QuickBooks Desktop, and brings at least 5 years of hands-on accounting experience. This role is critical to keeping our office running efficiently and supporting field operations.
Key Responsibilities
Accounting & Financial Management
- Manage all accounting functions using QuickBooks Desktop (A/R, A/P, payroll, general ledger)
- Process payroll, payroll taxes, and benefits coordination
- Prepare monthly financial reports, job cost reports, and cash flow summaries
- Manage all aspects of sales and use tax monthly
- Handle invoicing, customer billing, collections, and vendor payments
- Perform and review all bank, credit card, and loan account reconciliations each month, resolving discrepancies promptly.
- Coordinate with CPA for tax filings, audits, and year-end reporting
Office & Administrative Management
- Oversee daily office operations and administrative staff (if applicable)
- Maintain organized records for contracts, permits, licenses, and insurance
- Manage vendor relationships and purchasing
- Support project managers with job setup, tracking, and close-out
- Ensure compliance with company policies and industry regulations
Construction Support
- Set up new jobs in QuickBooks and track job costs
- Assist with change orders, lien waivers, and compliance documentation
- Coordinate scheduling support and communication between office and field crews
Required Qualifications
- Minimum 5 years of accounting experience (construction or contractor experience strongly preferred)
- Advanced proficiency in QuickBooks Desktop (required)
- Strong understanding of construction accounting and job costing
- Experience with payroll processing and tax compliance
- High attention to detail and strong organizational skills
- Ability to work independently and manage multiple priorities
- Strong communication and problem-solving skills
Preferred Qualifications
- Experience working for an electrical contractor or construction company
- Knowledge of permitting, insurance certificates, and lien laws
- Experience with additional construction software
