Stein Assisted Living - Switchboard Front Desk Receptionist
PER DIEM - FLEXIBLE HOURS
The Receptionist/Administrative Assistant maintains the responsibility of clerical tasks to support daily operations, including but not limited to, answering and transferring phone calls to employees, sorting and delivering mail, greeting visitors, managing the front desk and performing basic support tasks.
RESPONSIBILITIES:
- Answers the switchboard and directs telephone calls to the appropriate department head or party.
- Takes messages with complete information including (but not limited to):
- Forwards messages to correct party in a timely manner.
- If the call is regarding inquiries about Wilf Campus Services:
- Stein Assisted Living
- Stein Hospice
- Stein Palliative Services
- Transitional Program
- The General Inquiry Form will be completed and forwarded to the appropriate department Director for each service line.
- Answers the phone with a "smile" in voice and in a friendly manner, identifying the organization’s name and the receptionists name and inquiring, "How can I help you?"
- Attempts to answer the telephone in three (3) rings or less.
- Always asks the party calling if they can be put on hold before doing so.
- Forwards phones to nursing staff cell phone when leaving desk for period greater than 3 rings. Notifies nursing staff prior to transferring phones and leaves tap bell and sign directing public to ring tap bell for service.
- Greets and welcomes guests and visitors in a friendly, helpful manner and directs them through the building utilizing proper and approved security measures.
- Always looks up and greets and/or smiles at all persons entering.
- Greets vendors and other business-related parties in a friendly, helpful manner and directs them to the proper department head or party utilizing proper and approved security measures.
- Checks the fax machine, arranges and distributes faxes received to proper party several times a day. Notifies department heads when a fax has been received. Notifies Director of Nursing or designee when lab results and other medical information have been received.
- Manages incoming mail and distributes mail to proper party.
- Keeps the front lobby and reception desk neat, tidy clean, and uncluttered. No food in drawers and no eating at the desk.
- Maintains all facility emergency information at the reception desk for use 24 hours per day in the event of an occurrence or emergency, including but limited to intake/ information sheet for guests, emergency administrative manual, emergency telephone numbers, and a current resident list with telephone numbers and apartment numbers.
- Signs for all UPS and special deliveries and directs products and merchandise to the proper party in a timely manner.
- Dresses and grooms appropriately for interaction with the public within an up-scale business environment.
- Presents a professional image. Apparel and appearance are appropriate, neat and clean. ID Badge is worn highly visible with name showing or uses a desk placard with name.
- Unlocks the front, side, dining room, downstairs living room, and library doors by 9:00AM every day.
- Locks the front, side, dining room, downstairs living room and library doors every night by 9:00PM. Always ensure that all residents are inside before locking doors.
Pay: $17.00 - $18.00 per hour
Education:
- High school or equivalent (Required)
Experience:
- Customer service: 1 year (Preferred)
- RECEPTIONIST: 1 year (Required)
