Position Summary
The Front Desk Receptionist serves as the first point of contact for patients and visitors, providing exceptional customer service while ensuring efficient daily operations of the medical office. This role is responsible for patient scheduling, registration, insurance verification, phone management, administrative support, and maintaining a welcoming and professional environment.
Key ResponsibilitiesPatient Relations
- Greet patients, visitors, and vendors in a professional and friendly manner.
- Check patients in and out for appointments.
- Collect and update patient demographic and insurance information.
- Ensure patient confidentiality and compliance with HIPAA regulations.
- Address patient questions and concerns or direct them to the appropriate staff member.
Scheduling & Registration
- Schedule, reschedule, and confirm patient appointments.
- Maintain provider schedules and optimize appointment availability.
- Manage appointment reminders and follow-up communications.
- Register new patients and accurately enter information into the Electronic Health Record (EHR) system.
Telephone & Communication
- Answer incoming calls promptly and professionally.
- Route calls to providers and staff as appropriate.
- Take accurate messages and ensure timely follow-up.
- Respond to patient inquiries regarding appointments, office policies, and general services.
Insurance & Financial Responsibilities
- Verify insurance eligibility and benefits.
- Obtain referrals and authorizations when required.
- Collect copayments, deductibles, balances, and self-pay fees.
- Process patient payments and issue receipts.
- Maintain accurate records of financial transactions.
Administrative Duties
- Scan, upload, and file patient documents.
- Process incoming and outgoing fax communications.
- Maintain office supplies and front desk organization.
- Assist with medical records requests and documentation.
- Support providers and clinical staff with administrative tasks as needed.
Compliance & Quality
- Adhere to HIPAA, OSHA, and clinic policies and procedures.
- Maintain confidentiality of patient information at all times.
- Ensure accuracy and completeness of patient records.
- Participate in staff meetings and training sessions.
QualificationsRequired
- High school diploma or equivalent.
- Minimum 1 year of customer service, receptionist, or administrative experience.
- Strong verbal and written communication skills.
- Proficiency with Microsoft Office and basic computer applications.
- Ability to multitask in a fast-paced environment.
- Professional appearance and demeanor.
Preferred
- Previous experience in a medical office, primary care practice, chiropractic office, urgent care, or specialty clinic.
- Knowledge of medical terminology.
- Experience with Electronic Health Records (EHR) systems.
- Insurance verification and prior authorization experience.
- Bilingual skills are a plus.
