Front Desk Medical Office Assistant
At Optimize Pelvic Health our mission is to help people overcome pelvic floor dysfunction to become the strongest, healthiest version of themselves. We deliver a whole-body, stress-informed approach to pelvic floor care.
We are hiring a Front Desk Medical Office Assistant to help create a warm, welcoming experience for patients while supporting daily front office operations. This role serves as the first in-person point of contact for our clinic and plays an important role in helping patients feel comfortable, cared for, and supported from the moment they arrive.
The role focuses on front desk operations, patient experience, organization, and ensuring inquiries are appropriately transferred to our Patient Referral Coordinator.
What you'll do
- Greet patients warmly and professionally as they arrive
- Create a polished, welcoming front office experience
- Provide basic office information (location, fax number, how to log into patient portal)
- Transfer prospective patient inquiries to the Patient Referral Coordinator
- Support patient check-in and check-out processes
- Organize, scan, and maintain patient paperwork and records
- Maintain front office organization and presentation
- Track supplies and maintain inventory lists
- Support office upkeep including treatment room linens, treatment supplies and basic clinic organization
- Assist with administrative duties to support clinic operations (Data entry, sending cards/flyers)
- Represent the clinic with professionalism, warmth, and confidentiality

Required experience & skills
- Professional communication skills in person, by phone, and by email
- Strong organization and attention to detail
- Comfort learning basic information about pelvic health physical therapy services
- Proficiency with Google Workspace, Microsoft Word, and Excel
- Comfort using email systems, fax systems, and integrated phones systems
- High school diploma required
- Professional demeanor and patient-centered mindset
Nice to have
- Prior healthcare reception or medical office experience strongly preferred
- Experience using EMR or healthcare software systems
- Experience in specialty healthcare settings
- Associate degree or medical administration certificate program preferred
Hours & Structure
- Approximately 40 hours per week onsite in San Jose
- Monday–Friday approximately 8:00 AM–5:00 PM, schedule details finalized during hiring process
Compensation & Perks
- $20/hour during training
