Luma Creative and Westwave AV are two sister companies working across creative film production and audiovisual event work. Our core is film production — client shoots, creative projects, and everything that goes into pulling them off — with AV event work alongside it. It's a fast-moving, hands-on environment where no two weeks look quite the same.
The role
We're hiring a Production Coordinator to keep our film productions running smoothly end to end. You'll be the person who makes sure the right crew, gear, schedule, and budget come together on time — down to the last detail. This job lives and dies on attention to detail. A wrong call time, a missing gear item, a number off in the budget, a name misspelled on a call sheet — small misses create big problems on set, and we need someone who catches them before they happen. You'll also help coordinate our AV event work — no deep AV background needed, just a willingness to learn that side as you go. This is a role for someone who's meticulous, organized, calm under pressure, and genuinely enjoys juggling a lot of moving pieces without dropping any of them.
This is a Bay Area–based, hybrid position. Most of the work is coordination and admin that can be done remotely, with some in-person time for shoots and the occasional location scout.
What you'll do
- Coordinate schedules across productions, crew, freelancers, and gear so nothing collides
- Help build and track production budgets, and keep spending on plan
- Build and manage call sheets, gear pulls, and production logistics
- Track project timelines and keep everyone aligned on next steps
- Serve as a key point of contact for crew, vendors, and clients
- Manage vendor and freelancer relationships, rates, and bookings
- Support shoots on-site and scout locations as needed
- Help coordinate AV event work alongside the production team
- Handle the day-to-day details that keep production moving
What we're looking for
- Extreme attention to detail — this is the single most important trait for this role. You double-check everything, catch the small errors others miss, and never assume a detail is "close enough"
- Experience in film production coordination or a similar production support role
- Comfortable working with budgets and spreadsheets, and precise with numbers
- Strong organizational skills and the ability to keep many projects moving at once without letting anything slip
- Calm and resourceful under pressure; a natural problem-solver
- Willingness to learn the AV event side — no prior AV experience required
- Comfortable getting out to shoots and scouts when needed, not desk-only
- A valid driver's license and reliable transportation (mileage reimbursed for travel)
- Bay Area local, with knowledge of the region a plus
Nice to have
- Experience with production budgeting
- Familiarity with production or AV gear and workflows
- Experience supporting client-facing creative work
Compensation & logistics
- $28–32/hr depending on experience, with a review after an initial period tied to owning the role independently
- Mileage reimbursement for shoot and scout travel
- Hybrid: remote for coordination and admin, in-person for shoots and occasional scouts
