Job Summary: The Administrative Assistant is responsible for performing front office administrative duties which support therapists, psychiatric providers, services to clients and CCYSB operations and programing.
Essential Functions
- Answer incoming phone calls
- Check clients in/out for their appointments, collect co-pays and balance due
- Retrieve and respond, as appropriate, to CCYSB voicemail
- Respond as appropriate to incoming/outgoing faxes
- Call clients to remind them of their upcoming appointment
- On a daily basis, balance payments received
- Process requests for medical records
- File client charts, notes, etc.
- Respond to requests for closed files and placing documents in closed files
- Attend departmental and agency staff meetings and record minutes of the meeting
- Maintain staff mailboxes (creating new/deleting old)
- Schedule clients for appointments with psychiatric providers
- Process prescription refill requests
- Establish new client charts and perform quality intake audit reviews
- Maintain office and janitorial supplies inventory for agency
- Respond to panic alarm and fire alarm as outlined in risk management guidelines
- Serve as an active participant on one Agency staff committee (full-time employees)
- Provide clerical support, as needed, for various CCYSB programs
Knowledge and Skills
- High school diploma
- One year of similar experience
- Ability to operate computer programs such as Office 365, email, and internet. Previous experience with an electronic health record program preferred (myEvolv)
- Ability to use initiative and judgment in scope of designated responsibilities to ensure that matters requiring attention are appropriately handled or delegated
- Ability to maintain confidentiality
- Ability to effectively communicate with clients, contractors, vendors, supervisors, co-workers, and other persons in writing and by telephone while remaining professional, pleasant, and respectful
- Ability to conduct oneself as a team member through use of collegial words and actions that support co-workers and Carroll County Youth Service Bureau philosophy, mission, and vision
Physical Working Conditions
- This job requires sitting for 80%of the workday; lifting/carrying/moving objects up to 10 pounds; bending or reaching to file and working while standing/moving
- Smoke-free office and property
- Lighted, heated/cooled area typical of an office
- Noise from office equipment including telephone, computer, copier, etc. and from staff interactions
- If working off-site, employee may encounter buildings in the community that may be smoke-filled and non-handicap accessible
Licensing
- ·Valid driver’s license with no more than two points
Training
Must participate and successfully complete a variety of training which may include Infection Control, HIPAA, Corporate Compliance/Ethics, Consumer Rights, First Aid/CPR and other training as requested

Work Schedule. This is a Full-Time position with the following dedicated schedule:
Monday-Friday. Hours: Mon, Tues, Thurs, Fri: 8:30am-4:30pm, Wed: 12:15pm-8:15pm
