About the Role
The Assistant Project Manager (APM) at LoDuca Associates plays a vital role in ensuring precision building from project kick-off to completion. Working closely with our Project Management team, the APM will act as a core administrative and operational engine for our projects. The primary focus of this role is to handle procurement workflow, manage the submittal pipeline, and execute change orders to ensure jobs stay on schedule and within budget.
Core Responsibilities
1. Purchase Order (PO) Management & Procurement
- PO Creation & Tracking: Generate, organize, and process all project purchase orders.
- Vendor Procurement: Solicit and compile pricing for large-scale purchase orders .
- Deliverability Coordination: Actively track material lead times, ensure prompt deliverability to job sites, and alert all relevant stakeholders of PO statuses.
- Inventory & Reconciliation: Review project delivery reports and work closely with the Controller to ensure proper tracking of invoices, connecting delivery tickets to invoices and properly coding job invoices.
2. Submittal & Data Management
- Submittal Pipeline: Manage the full lifecycle of project submittals, ensuring they are compiled, logged, and routed to architects, engineers, and clients for timely approval.
- Procore Architecture: Maintain a clean, logical classification of all project submittals, drawings, and RFIs within Procore to ensure data is always accurate and up to date.
- Stakeholder Distribution: Ensure approved submittals and updated documents are promptly distributed to field superintendents and subcontractors.
3. Change Order Execution & Financial Tracking
- Change Order Drafting: Identify scope gaps or project modifications, gather backup pricing from subcontractors, and compile official Change Order Requests (CORs).
- Execution Tracking: Monitor the progress of pending change orders, ensuring written authorization is secured before work proceeds.
- Budget Alignment: Assist the PM in tracking overall job expenses and finding cost-saving avenues.
4. Project & Communication Support
- Stakeholder Liaison: Act as a secondary point of contact for clients, subcontractors, and field staff, stepping in to resolve administrative bottlenecks.
- Schedule Support: Assist the Project Manager in tracking critical path schedules and project progress.
- Jobsite Amenities: Price out and procure job trailers, porta sans, temp fencing etc. Track throughout the job and remove from the project when completed.
- RFI: Maintain RFI log and ensure proper communication to PM’s.
- Meetings : Attend jobsite meetings as needed and handle meeting minutes creation and documentation for all jobs.
5. Subcontractor Support
- Submittal Management: Follow up and aide subcontractors in getting their submittals in and approved in a timely manner.
- Contracts: Distribute and follow up with subcontractors regarding executed contracts.

Qualifications & Skills
- Proficiency in construction management software, specifically Procore and Bluebeam.
- Strong organizational skills with a heavy attention to detail regarding contracts, numbers, and document control.
- Ability to read architectural drawings and project schedules.
- Excellent collaborative skills to work seamlessly across estimating, project management, and field supervision teams.
- Must pass mandatory pre-employment background checks and official drug testing.
Pay: From $70,000.00 per year
