Overview
Oasis Dental Team PC is seeking a motivated, organized, and driven Dental Office Administrator to join our growing team. Oasis Dental Team is a private dental office apart of Dudhat Dental Group, Official Dentist for the Philadelphia Eagles.
This is an excellent opportunity for a confident dental professional who takes ownership, thrives in a fast-paced environment, and understands that a successful front office drives an exceptional patient experience and a productive clinical schedule.
We are looking for someone who is not satisfied with simply answering phones and checking patients in. The right candidate will be a dependable leader at the front desk—someone who can keep the schedule full, communicate clearly with patients, follow through on treatment, collect accurately, and ensure daily administrative systems are completed consistently.
What You'll Do
- Manage front-office operations, including check-in, check-out, phones, patient communication, scheduling, and financial coordination.
- Keep doctor and hygiene schedules productive by confirming appointments, filling openings, managing cancellations, and reactivating overdue patients.
- Present treatment plans professionally, explain estimated patient responsibility, collect deposits/copays, and help patients move forward with needed treatment.
- Verify insurance benefits accurately, review coverage details, and communicate estimates clearly and confidently to patients.
- Maintain accurate patient records, treatment plans, financial notes, communication logs, forms, and supporting documentation in Open Dental.
- Follow established daily systems for insurance verification, appointment confirmation, copay collection, patient routing, scanning documents, and follow-up.
- Help oversee accounts receivable follow-up, unpaid balances, unscheduled treatment, recall/reactivation, and patient financial arrangements.
- Maintain awareness of the day’s schedule, patient flow, provider needs, and outstanding administrative tasks.
- Support a positive, professional, welcoming patient experience from the first phone call through treatment completion.
- Communicate effectively with the doctor, clinical team, and fellow administrative team members.
What We're Looking For
- Dental front-office, treatment coordinator, scheduling coordinator, or dental office administrator experience strongly preferred.
- Strong knowledge of dental insurance, including deductibles, annual maximums, frequencies, limitations, downgrades, waiting periods, coordination of benefits, and patient estimates.
- Experience discussing treatment costs, collecting copays and deposits, and helping patients schedule recommended care.
- Excellent phone presence, communication skills, professionalism, and customer-service mindset.
- Highly organized, detail-oriented, reliable, and able to manage multiple priorities without losing follow-through.
- Comfortable holding yourself accountable to daily checklists, office systems, documentation standards, and performance expectations.
- Strong computer skills; experience with Open Dental is a plus.
- Punctual, dependable, coachable, and committed to being a positive contributor to the team.
- A proactive “find a solution” mentality rather than a “wait to be told” approach.
Ideal Candidate
The ideal person is energetic, professional, and motivated by results. You understand that every patient interaction matters, every missed appointment is an opportunity to recover, and every incomplete treatment plan deserves thoughtful follow-up.
You take pride in accuracy, organization, collections, patient communication, and keeping the office running efficiently. You are comfortable being held to clear expectations and are excited to grow with a practice that values accountability, teamwork, and excellent patient care.
