About the Role
Kenney Business Solutions, Inc. (KBS) is seeking a Senior Administrative Support Specialist / Project Information Specialist with a specialization in Facilities & Audio Visual to support the U.S. Trade and Development Agency (USTDA) in Arlington, VA.
SUMMARY: This senior-level position manages USTDA's Business Center, 7 conference rooms, and AV infrastructure, supporting approximately 50–60 events annually. The incumbent handles physical room setup, AV operation and first-level troubleshooting, facilities request tracking, and agency-wide administrative program support including building management coordination and staff directory maintenance.
Key Responsibilities
- Manage reservations, scheduling, and physical setup for USTDA's Business Center and all agency conference rooms; maintain event calendar; coordinate with caterers, external contractors, and building management.
- Operate, troubleshoot, and maintain AV/teleconferencing equipment across all conference and training spaces; conduct twice-weekly walk-throughs; coordinate repair visits through COR per D.1.3.3.
- Receive and log facilities requests via building management tracking system; generate work orders; monitor and close out all open tickets; coordinate escalated issues with the Office of Administration.
- Provide general administrative management support to USTDA operations staff including grant/contract deliverable review, travel management documentation, and subscription tracking.
- Maintain and update IRC Document Flow Process Map; assist with process improvement identification and implementation.
- Support staff onboarding and offboarding including office space setup, staff directories, and supply inventory.
- Provide training to agency staff on IRC functions and agency business processes.
Required Qualifications
- Bachelor's degree required in business, information management, or related field.
- Minimum 10 years of administrative management experience
- Demonstrated experience with AV equipment setup and troubleshooting in a conference or event environment (microphones, monitors, video conferencing, projection systems)
- Experience creating and implementing administrative management policies and procedures.
- Secret security clearance required.
- Physical ability to rearrange conference furniture and move equipment.
- Must be a U.S. citizen.
Preferred Qualifications
- Experience with building management systems or facilities ticketing platforms
- Prior experience supporting high-level government delegation events
- Experience creating and editing AV content (presentations, video)
