ABOUT THE ROLE
The Office Manager & HR Coordinator serves as the operational and human resources backbone of the firm. Working in partnership with firm leadership and utilizing ADP TotalSource as our PEO platform, this individual ensures that HR processes are administered consistently, compliantly, and efficiently — while keeping the day-to-day office running smoothly.
WHAT YOU'LL DO
Human Resources & Employee Relations
- Manage full-cycle recruiting: job postings, screening, interviews, offer letters, and onboarding through ADP
- Serve as the primary ADP TotalSource administrator for employee records, benefits enrollment, and system updates
- Support firm leadership in developing and monitoring performance improvement plans as needed
- Coordinate employee performance evaluations; maintain records and timelines
- Administer and update the employee handbook; ensure policies are current, compliant, and clearly communicated
- Manage offboarding including exit interviews, systems access termination, and final pay processing
- Serve as the first point of contact for employee relations issues and conflict resolution
- Coordinate staff training, onboarding programs, and professional development initiatives
- Maintain confidential employee files in compliance with applicable laws and firm policy
- Partner with outside employment counsel or ADP HR support for complex matters
Timekeeping & Scheduling
- Review, verify, and approve timecards for all support staff via ADP each pay period
- Administer time-off requests; maintain accurate PTO and leave tracking
- Manage front desk coverage schedule and resolve scheduling gaps proactively
Office Operations
- Oversee office supply procurement and vendor relationships
- Supervise the receptionist, providing day-to-day direction and performance oversight
- Coordinate with building management, IT vendors, and service providers
- Maintain a professional, organized, and welcoming office environment
- Assist with special projects, firm events, and ad hoc needs as directed by leadership
WHAT WE'RE LOOKING FOR
- 3–5+ years of progressive experience in office management and/or human resources; law firm or professional services experience a plus
- Proficiency with ADP Workforce Now or ADP TotalSource strongly preferred
- Working knowledge of federal and New York State employment laws and HR best practices
- Experience managing employee relations and performance management processes
- Strong organizational skills with the ability to juggle multiple priorities
- High degree of discretion, confidentiality, and professional judgment
- Excellent written and verbal communication skills
- Proficient in Microsoft Office Suite (Word, Excel, Outlook)
- SHRM-CP, PHR, or equivalent HR certification preferred but not required
COMPENSATION & BENEFITS
- Salary: $70,000 – $82,000, commensurate with experience
