Overview
We are seeking a dynamic and organized Secretary/Receptionist to join our team and serve as the welcoming face of our organization. Duties
- Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly.
- Manage multi-line phone systems efficiently, directing calls to appropriate departments or personnel with professionalism and courtesy.
- Handle front desk responsibilities including scheduling appointments, maintaining visitor logs, and managing incoming correspondence.
- Perform data entry tasks using Microsoft Office Suite, Google Workspace, and QuickBooks to keep records accurate and up-to-date.
- Support office management by organizing files, processing invoices, and assisting with bookkeeping activities.
- Provide exceptional customer support by addressing inquiries, offering information, and resolving issues with a friendly attitude.
- Coordinate calendar management for executives or team members, including scheduling meetings and preparing necessary materials.
Requirements
- Proven experience in office administration or clerical roles with strong organizational skills.
- Excellent computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace tools, and data entry software.
- Prior experience managing multi-line phone systems and demonstrating effective phone etiquette.
- Bilingual fluency in English and another language preferred to serve diverse client needs effectively.
- Strong organizational skills with the ability to multitask efficiently in a fast-paced environment.
- Demonstrated customer service skills with a professional demeanor and positive attitude.
- Experience with office management software such as QuickBooks or similar bookkeeping tools is a plus.
- Ability to handle confidential information discreetly while maintaining accuracy in proofreading and document review.
- Personal assistant or calendar management experience is desirable for supporting executive schedules.
