Job Description: Architectural Marketing & Business Development Coordinator
Direct Reporting to Principal and Director Level Staff

We are a 55 -person architecture firm based in Columbus, Ohio, specializing primarily in:
- Market-rate and affordable housing
- Affordable housing development projects utilizing LIHTC and HUD project funding
- Historic Rehabilitation Projects utilizing State and Federal Historic Tax Credits
- Additional commercial work includes office and restaurant buildouts
We are seeking a highly organized and relationship-driven Architectural Marketing & Business Development Coordinator to maintain current client relationships while strengthening our pipeline and support pursuit and growth efforts.
Position Summary
The Architectural Marketing & Business Development Coordinator supports a principal-led growth strategy by coordinating marketing initiatives, managing proposal/RFP workflows, maintaining CRM/pipeline systems, and helping project teams assemble client-ready, sector-specific materials for new project opportunities.
This role is responsible for ensuring we respond to opportunities efficiently and present our capabilities clearly and consistently, especially where compliance-driven or documentation-heavy submissions are required.
Key Responsibilities
1) Marketing Coordination
- Support marketing campaigns and visibility efforts aligned with firm growth priorities.
- Coordinate creation and maintenance of housing-sector collateral, such as:
- Capability statements with housing proof points
- Sector-specific project sheets for each market (i.e., housing, commercial, etc.)
- Case studies/success stories emphasizing our experience
- Team bios and project summaries for submissions
- Assist with ongoing content updates:
- Website updates (project spotlights, announcements, thought leadership, etc.)
- Social media coordination (milestones, awards, project launches)
- Maintain brand consistency across all materials.
2) LIHTC/HUD Proposal & Qualifications Support (RFP/RFQ + Submission Logistics)
- Coordinate full proposal workflow, including:
- Opportunity intake and internal kickoff
- Deadline tracking and production timelines
- Compliance checks (format, required sections, attachments)
- Version control and final submission readiness
- Assemble and manage proposal components by coordinating internal inputs:
- Project lists and relevant experience summaries
- Narrative drafts (where assigned) and/or editing contributions
- Resumes/bios and team role descriptions
- Project images and diagrams (ensure approvals/credits are current)
- Ensure submissions are organized, persuasive, and submission-complete.
- Maintain a library of “reusable” proposal assets to speed future bids (templates, writing banks, project fact blocks).
3) Business Development Support (Lead Generation + Pursuit Coordination)
- Support lead generation activities tied to affordable housing and development opportunities, including:
- Target list building (developers, owners, housing partners, GCs, public/private contacts)
- Outreach assistance and meeting coordination support
- Tracking follow-ups and next steps after meetings
- Help coordinate capture and pursuit support:
- Organizing meeting notes
- Maintain opportunity details in asset management tracking system/CRM
- Track decision timeline and stage movement
- Assist the principal with preparing for calls/meetings by ensuring that up-to-date project/firm background materials are available.
4) Asset Management
- Develop and lead a client-based tracking system to ensure accurate, current pursuit information.
- Keep opportunity stages consistent and well-documented:
- Contacts, notes, submission dates, and outcomes[LL2]
- Manage marketing/pursuit asset organization:
- Centralized file structure
- Current versions of resumes, project sheets, and approved images
- Provide light reporting to leadership, such as:
- Active pursuits
- Proposal volume and status
- Submission outcomes (win/loss where available)[LL3]
5) Events, Networking, and Industry Visibility
- Coordinate logistics for industry events and community engagements as directed by the principal.
- Support sponsorships, awards, and directory submissions.
- Maintain a marketing calendar to align events with submission cycles.
6) Cross-Functional Coordination
- Liaise with project teams and leadership to quickly gather:
- Project summaries, metrics, and outcomes
- Imagery and marketing approvals
- Team participation details
- Translate complex project experience into clear, client-facing language and proof points.
Work Location & Schedule
- Location: Columbus, Ohio
- Work model: In-office/hybrid schedule (coordinated with firm leadership)
- Schedule: Full-time; occasional evening/early work during submission deadlines and events
Required Qualifications
- 1–2 years of experience in:
- marketing coordination, proposal coordination, or business development support (A/E/C preferred)
- or equivalent professional services marketing/proposal experience
- Strong written communication and editing skills (clear, professional, client-ready).
- High attention to detail for formatted documents and compliance-driven submissions.
- Proven organizational ability:
- managing multiple inputs and deadlines
- maintaining version control and accurate tracking
- Comfortable learning and using pipeline tools.
- Ability to coordinate across multiple stakeholders in a fast-paced environment.

Pay: $55,000.00 - $65,000.00 per year
