Overview
The Psy Center for Counseling & Evaluations is a growing private psychology practice specializing in psychotherapy, psychological and neuropsychological evaluations, forensic evaluations, occupational evaluations, and immigration evaluations.
We are seeking an experienced Practice Coordinator & Behavioral Health Billing Specialist to serve as the operational backbone of our practice. This is not an entry-level administrative or receptionist position. We are looking for a highly organized professional with substantial experience in behavioral health insurance billing who can independently manage the front office, insurance billing, and day-to-day administrative operations with minimal supervision.
The ideal candidate is proactive, detail-oriented, customer-focused, and enjoys solving problems while providing exceptional service to patients, referral sources, providers, attorneys, and insurance companies.
Candidates whose experience is limited to general medical billing, dental billing, or front desk/reception duties without independent behavioral health billing experience are unlikely to be a good fit for this position.
Duties
Insurance Billing & Revenue Cycle
- Verify insurance eligibility, benefits, and authorization requirements.
- Obtain prior authorizations when required.
- Prepare, review, and submit electronic insurance claims accurately.
- Monitor claim acceptance and resolve rejected claims.
- Investigate denied claims and prepare appeals.
- Post insurance payments and reconcile EOBs/ERAs.
- Monitor accounts receivable and follow up on outstanding insurance claims.
- Generate patient statements and collect patient balances.
- Communicate directly with insurance companies regarding billing, eligibility, authorization, and claim issues.
- Maintain provider credentialing, payer enrollment, and recredentialing.
- Identify billing trends and recommend workflow improvements.
Front Office & Patient Coordination
- Answer incoming telephone calls professionally.
- Respond to patient emails and inquiries.
- Schedule therapy appointments, psychological evaluations, and neuropsychological testing appointments.
- Coordinate multi-session evaluations and feedback appointments.
- Check patients in and out.
- Collect copays and outstanding balances.
- Prepare intake paperwork and maintain electronic patient records.
- Scan, upload, and organize documentation within the electronic health record.
- Maintain a welcoming and organized reception area.
Computer Testing Support
- Prepare testing rooms prior to appointments.
- Assist patients with logging into computerized assessment platforms.
- Launch computerized questionnaires and testing programs.
- Troubleshoot basic technical issues.
- Prepare testing materials for clinicians.
Administrative Support
- Monitor practice email and route communications appropriately.
- Coordinate referrals and collateral requests.
- Maintain office supplies and testing materials.
- Support general day-to-day practice operations.
Required Qualifications
Applicants who do not meet these minimum qualifications will not be considered.
- Minimum 3 years of recent experience working in a psychology, neuropsychology, psychiatry, counseling, or behavioral health practice.
- Minimum 3 years independently managing behavioral health insurance billing.
- Experience billing psychotherapy services.
- Experience billing psychological and/or neuropsychological testing services, including familiarity with CPT codes 96130–96139.
- Demonstrated experience managing the complete revenue cycle, including:
- Insurance verification
- Prior authorizations
- Electronic claim submission
- Payment posting
- Denial management
- Appeals
- Accounts receivable follow-up
- Patient collections
- Experience with provider credentialing, payer enrollment, and recredentialing.
- Ability to independently resolve billing issues with commercial insurance companies.
- Experience managing front office operations, scheduling, and patient communications.
- Strong organizational, communication, and customer service skills.
- Excellent computer proficiency and ability to quickly learn new software.
- Ability to work independently with minimal supervision.
Preferred Qualifications
- Experience in a private psychology or neuropsychology practice.
- Experience using SimplePractice or other behavioral health EHR systems.
- Experience with clearinghouses such as Availity, Office Ally, Waystar, or similar.
- Experience billing commercial insurance plans including Premera, Regence, Aetna, Cigna/Evernorth, Optum/UnitedHealthcare, Medicare, and Medicaid.
- Bilingual (English/Spanish) preferred.

Compensation & Benefits
- $25.00–$35.00 per hour, depending on experience.
