The Grupe Management Company is searching for a Part-Time Community Manager for our 58-unit Apartment Community in Antioch, CA!
The community manager is fully accountable for all day to day property operations, overseeing, and enhancing the value of the property. The purpose of the community manager is to effectively manage and coordinate all employees, vendors, and available resources in order to accomplish community objectives as set forth by the Regional Property Manager and/or owner. These objectives will include maximizing occupancy levels and community values.
Duties and Responsibilities:
- Conduct all business in accordance with Grupe Management Company policies and procedures, Fair Housing, the Americans with Disabilities Act, the Fair Credit Reporting Act, and all other Federal, State and Local laws.
Financial: Ensure that all rents are collected when due and posted in a timely manner. Ensures that all deposits are entered in Yardi and are submitted to the bank.
- Performs tasks such as posting 3-Day pay notices in accordance with state law, filing evictions when necessary, and collecting any past due payments.
- Collecting bills/invoices from vendors and entering them in Yardi or sending them to the Grupe Management Company for processing.
- Actively maintaining Yardi with move-ins, move-outs, notices, and completing deposit accounting’s in a timely manner.
- Consulting with the RPM regarding any purchases or repairs in excess of $150 which are required.
- Adheres to and reviews the community budget.
- Maintain occupancy.
Human Resources: Overseeing and scheduling work of on-site staff such as leasing agents and maintenance technicians.
- Trains and motivates all on-site staff in order to achieve operational goals. This includes ensuring that on-site staff adhere to all Grupe Management Company policies and procedures, new employee training, ongoing formal and informal performance reviews.
Safety: Reports all liability and community incidents to the corporate office immediately.
- Completes monthly safety meetings with on-site staff.
Administrative: Ensures that resident files are complete and that completion of leases is being executed properly.
- Approves and/or denies all credit applications. May request additional assistance from the RPM regarding credit applications.
- Responsible for office opening on schedule, condition of office and model apartment.
- Maintains required reports on a daily, weekly, or monthly basis. Submits required reports to RPM on a designated schedule.
- Responsible for providing proper notice to residents regarding lease expirations and rental increases.
Resident Relations: Maintains a positive customer service attitude.
- Completes move-in and move-out inspections.
- Initiate and implement policies and procedures to maintain resident communications. Provides notices to any resident who is not following community policies and procedures.
- Takes, enters, and schedules work orders. Properly closes out work orders when completed. Follows up with resident within 2 days of work order completion to ensure resident satisfaction.
Maintenance: Physically walks and inspects the community on a regular basis.
- Coordinates with maintenance to ensure timely turn of apartments after move-out.
- Provides community condition reports to RPM.
Marketing/Leasing: Conduct market surveys and provide trend report information to RPM. Shop competition and be aware of neighborhood market conditions.
- Welcome and show community to prospective residents. Take incoming phone calls from prospective residents and convert phone calls into showings.
- Complete necessary paperwork with new applicants.
- Oversee and delegate duties to the Leasing consultant.
Qualifications/Requirements:
- 1 year experience in property management (Willing to train a leasing agent with experience)
- Proficiency with Microsoft Office. Proficiency with Yardi preferred.
- Positive attitude and employee management skills.
- Strong customer service skills.
- Current driver’s license and automobile insurance required. Must be able to utilize personal transportation to complete some duties off-site.
- Must pass pre-employment drug screening and background check.
*Part-Time (Monday, Wednesday, and Friday from 8am to 4:30pm)
