Overview
We are seeking a highly organized and detail-oriented Transportation Operations Coordinator to support our trucking operations through accurate record keeping, logistics coordination, and administrative support. This position plays a critical role in maintaining driver and fleet documentation, ensuring regulatory compliance, and assisting with the day-to-day coordination of transportation activities. The ideal candidate has experience in the trucking industry, understands transportation logistics, and is committed to maintaining organized, accurate records in a fast-paced environment.
Responsibilities
- Maintain and organize driver qualification files, personnel records, vehicle records, permits, registrations, and other transportation documentation.
- Ensure compliance with DOT, FMCSA, and company recordkeeping requirements by maintaining accurate and up-to-date files.
- Perform data entry and maintain transportation records using company software and Microsoft Office applications.
- Assist with scheduling, load coordination, and communication between drivers, dispatch, customers, and management.
- Track permits, insurance certificates, vehicle inspections, maintenance records, and licensing deadlines.
- Support driver onboarding by preparing required documentation and assisting with new hire paperwork.
- Monitor driver files to ensure required documents remain current and compliant.
- Answer phones, respond to emails, and provide administrative support to the operations team.
- Prepare reports, maintain spreadsheets, and assist with audits and compliance reviews.
- Collaborate with dispatch and management to ensure smooth daily transportation operations.
Qualifications
- Previous experience in the trucking, transportation, or logistics industry required.
- Experience maintaining transportation records, compliance documentation, or administrative files preferred.
- Working knowledge of DOT/FMCSA regulations and driver qualification file requirements is highly preferred.
- Strong organizational skills with exceptional attention to detail.
- Proficient in Microsoft Office, especially Excel, Word, and Outlook.
- Experience with transportation management software or dispatch systems is a plus.
- Excellent communication and customer service skills.
- Ability to prioritize multiple tasks and work independently in a fast-paced office environment.
- Experience with driver recruiting or onboarding is a plus, but not required.

Pay: $39,000.00 - $41,600.00 per year
