We are seeking a highly organized, proactive, and dependable Administrative Office Coordinator to support the daily operations of our behavioral health agency. This position requires someone who can manage multiple priorities, communicate professionally with families and staff, and follow tasks through to completion with minimal supervision.
The ideal candidate is resourceful, detail-oriented, comfortable learning new systems, and able to identify problems and take initiative to help resolve them.
Responsibilities
- Coordinate and maintain client and staff schedules
- Answer incoming phone calls and respond to emails professionally and promptly
- Communicate with families regarding scheduling, onboarding, service coordination, and general inquiries
- Coordinate new employee onboarding, orientation, and required documentation
- Recruit Behavior Technicians (BTs) and other staff, screen applicants, and coordinate interviews
- Assist with credentialing, compliance requirements, and follow-up with insurance companies and other organizations
- Maintain accurate and organized client and employee records
- Track outstanding administrative items and follow up until completion
- Conduct online research related to insurance requirements, regulations, vendors, credentialing, and operational projects
- Assist with billing and administrative follow-up as assigned
- Maintain spreadsheets, trackers, and other systems used to monitor agency operations
- Support management with special projects and day-to-day agency needs
- Identify administrative problems or missing information and proactively work toward solutions
Qualifications
- ABA Agency Office Experience
- Strong organizational and time-management skills
- Excellent attention to detail and ability to follow established procedures
- Ability to manage multiple assignments and deadlines without losing track of outstanding tasks
- Strong written and verbal English communication skills and professional phone etiquette
- Comfortable communicating with families, employees, applicants, insurance representatives, and other professionals
- Proficiency with Microsoft Office, particularly Word and Excel
- Strong computer skills and ability to learn new software and online platforms quickly
- Experience maintaining spreadsheets, trackers, electronic records, and administrative documentation
- Ability to conduct independent online research and locate accurate information
- Ability to handle confidential client and employee information with discretion
- Dependable, responsive, and able to work independently with appropriate supervision
- Prior experience in ABA, behavioral health, healthcare, insurance, credentialing, or medical administration is strongly preferred
