Functional Transformation DME is seeking an experienced, highly organized, and motivated DME Manager to join our growing team. This is a full-time, in-office leadership position responsible for overseeing the durable medical equipment (DME) intake process, coordinating patient care, ensuring regulatory compliance, and delivering exceptional customer service.

Position Overview
The DME Manager serves as the primary point of contact for patients, referral sources, physicians' offices, therapists, and insurance companies throughout the DME process. This individual is responsible for managing patient intake, insurance verification, documentation, order coordination, and overall customer satisfaction while ensuring compliance with all DMEPOS regulations and company policies.
- Serve as the primary point of contact for patients, physicians' offices, therapists, referral sources, and insurance companies.
- Answer incoming calls professionally and provide exceptional customer service to patients and referral partners.
- Manage the complete intake process for new DME referrals from receipt through final order completion.
- Verify insurance eligibility, benefits, prior authorization requirements, and coverage guidelines.
- Clearly communicate patient financial responsibility, including deductibles, copayments, coinsurance, and non-covered items.
- Coordinate garment orders, delivery, setup, and follow-up to ensure timely patient service.
- Maintain accurate, complete, and compliant patient documentation within the EMR and billing systems.
- Work collaboratively with therapists, physicians' offices, patients, billing staff, and management to ensure seamless coordination of care.
- Monitor orders from start to finish, taking ownership to ensure each order is completed accurately and efficiently.
- Ensure compliance with all company policies, HIPAA regulations, Medicare guidelines, DMEPOS standards, and applicable federal and state regulations.
- Identify process improvements and take initiative to resolve issues proactively while maintaining a high level of customer satisfaction.
Qualifications
- Minimum of two (2) years of DME experience preferred.
- Previous experience in medical office administration, healthcare, or patient services is a must.
- Working knowledge of Medicare, Medicaid, commercial insurance verification, authorizations, and DME billing processes is highly desirable.
- Excellent verbal and written communication skills with a professional and compassionate demeanor.
- Must be a true people person who enjoys working with patients, therapists, physicians' offices, referral sources, and fellow team members.
- Self-motivated with the ability to take initiative and independently manage responsibilities from start to finish.
- Strong organizational skills with exceptional attention to detail.
- Ability to prioritize multiple tasks and work effectively in a fast-paced environment.
- Proficiency with computers, EMR systems, Microsoft Office, and healthcare software.
- Demonstrates professionalism, integrity, accountability, and a commitment to outstanding customer service.
