Position Summary:
We are a busy private surgical practice seeking a professional, friendly, and empathetic Front Office Medical Coordinator to join our team. The ideal candidate will have strong front office experience, excellent multitasking abilities, and a background in insurance verification, prior authorizations, patient scheduling, payment collection, and accounts receivable. Experience in a surgical clinic is a significant plus.
This role is essential in creating a welcoming and efficient environment for our patients while ensuring the smooth day-to-day operations of our front office.
Key Responsibilities:
- Schedule patient appointments accurately and efficiently
- Verify insurance benefits and obtain necessary prior authorizations for procedures, imaging, and medications
- Collect co-pays, deductibles, and outstanding balances at time of service
- Process patient payments and maintain accurate financial records
- Manage accounts receivable, including follow-up on unpaid claims and outstanding balances
- Coordinate with clinical and surgical staff to ensure proper patient flow and communication
- Maintain accurate patient records, including demographic and insurance information
- May eventually assist with surgical scheduling and pre-operative coordination
- Handle high call volumes, patient check-ins, and check-outs simultaneously with professionalism and calm
- Ensure compliance with HIPAA and all confidentiality standards
- Provide a warm and professional first impression for patients and visitors
Qualifications:
- 2+ years of experience in a medical front office role, preferably in a private practice setting
- Solid knowledge of insurance plans, billing, and prior authorization processes
- Experience with electronic medical records (EMR/EHR) systems, AdvancedMD is a plus
- Previous exposure to surgical clinics or surgical scheduling is highly preferred
- Exceptional multitasking skills and attention to detail
- Excellent verbal and written communication skills
- Demonstrated professionalism, reliability, and a team-oriented attitude
- Friendly and empathetic demeanor with a passion for providing outstanding patient care
Preferred Skills:
- Familiarity with CPT and ICD-10 coding (basic level)
- Knowledge of Medicare, Medicaid, and commercial insurance procedures
- Bilingual (English/Spanish) is a plus
