Overview
We are seeking a highly organized, professional, and motivated Office Administrator & Client Services Coordinator to join our team. This is a dynamic, multi-faceted role that extends well beyond a traditional front desk position. As the first point of contact for our customers, vendors, and business partners, you will play a critical role in representing our company and supporting the daily operations of the office. We are looking for someone who takes ownership of their responsibilities, communicates professionally, exercises sound judgement, and thrives in an extremely fast-paced environment. The ideal candidate is dependable, detail-oriented, proactive, and commited to providing exceptional customer service.
Experience in the marine industry is a plus, but not required. We value individuals who are eager to learn and take pride in delivering a lasting customer experience.
Duties
- Greet and welcome clients and visitors in a friendly and professional manner.
- Manage incoming calls, ensuring proper phone etiquette while directing calls to appropriate personnel.
- Coordinate and schedule service appointments with customers and technicians.
- Manage boat and equipment rental reservations, including scheduling, confirmations, and customer communication.
- Maintain service and rental calendars while ensuring efficient scheduling and workflow.
- Provide clerical support including proofreading documents and preparing correspondence.
- Prepare invoices, work orders, correspondence, and other buisness documents.
- Assist customers with questions regarding services, rentals, and general buisness inquiries.
- Support team members with administrative tasks as needed, acting as a personal assistant when required.
- Support additonal administrative and operational functions as buisness needs require.
- Weekends are required.
Experience
- Previous experience in an office administration, administrative assistant, office coordinator, client services, or similar administrative role.
- Marine, boating, dealership, or service industry experience is preferred, but not required.
- Experience scheduling service appointments, coordinating calendars, or managing reservations is highly desirable.
- A proven ability to deliver exceptional customer service in a fast-paced, professional enviornment.
- Excellent organizational, time management, and multitasking skills.
- Strong written and verbal communication skills with a high level of professionalism.
- The ability to work independently, take initiative, and contribute as a dependable member of the team.
