REAL New York is seeking a Leasing Administrator to join the on-site team for one of Manhattan’s newest luxury residential developments.
The Leasing Administrator will support daily leasing operations, including incoming inquiries, appointment scheduling, prospect tracking, applications, lease documentation, and reporting. We are looking for someone who is organized, responsive, detail-oriented, and comfortable managing a high volume of activity.
Responsibilities
- Monitor incoming leasing inquiries and ensure timely responses.
- Schedule and coordinate property tours and appointments.
- Manage the leasing calendar, including appointment confirmations and updates.
- Assist with prospect follow-up before and after appointments.
- Maintain accurate prospect information, notes, appointment details, and lead statuses in Yardi and RentCafe.
- Provide prospects with general information about the property, availability, and leasing process.
- Track inquiries, appointments, follow-ups, applications, and outstanding items.
- Review applications for completeness and follow up on missing documents.
- Assist with lease preparation, riders, signatures, deposits, and related documentation.
- Maintain accurate and organized leasing records.
- Prepare daily and weekly reports on inquiries, appointments, traffic, applications, and leases.
- Keep property listings, availability, and leasing information up to date.
- Coordinate with the leasing team, property management, and building staff as needed.
- Assist with additional administrative and leasing needs throughout the lease-up.
Qualifications
- Previous real estate experience preferred.
- New York State Real Estate Salesperson License preferred.
- Strong organizational skills and attention to detail.
- Ability to manage a high volume of inquiries, appointments, follow-ups, and administrative tasks.
- Excellent written and verbal communication skills.
- Professional and responsive when communicating with prospective residents.
- Strong time-management and follow-through.
- Comfortable working with calendars, scheduling systems, databases, and detailed records.
- Familiarity with Yardi and RentCafe is a plus.
- Proficiency in Microsoft Office, particularly Excel.
- Ability to work effectively in a fast-paced, team environment.
- Weekend availability required during the initial lease-up phase. Weekday days off may be Tuesday and Wednesday or Wednesday and Thursday.
