Job Summary
We are seeking a detail-oriented and organized Administrative Assistant to support daily office operations. This role is essential in ensuring efficient workflow, accurate billing processes, and smooth communication across the team. The ideal candidate is proactive, dependable, and able to manage multiple tasks in a fast-paced environment.
Key Responsibilities
- Maintain and manage the office meeting calendar and personnel PTO schedules
- Perform quality control checks on invoices and accurately enter them into billing systems
- Ensure timely payment of invoices to contractors
- Monitor and follow up on outstanding and unpaid invoices
- Call in utility locates and track requests as needed to support operations
- Maintain adequate inventory of office supplies and coordinate restocking as needed
- Keep accurate records and minutes of meetings
- Provide administrative support to the General Manager as needed
- Assist with various administrative tasks and projects as assigned
Qualifications
- Proven experience as an administrative assistant or in a similar role preferred
- Strong organizational and time-management skills
- Excellent attention to detail and accuracy
- Proficiency in Microsoft Office (Word, Excel, Outlook) or similar software
- Ability to handle confidential information with discretion
- Strong written and verbal communication skills
- Ability to multitask and prioritize effectively
Pay: $21.00 per hour
